Job description
Manage and track tenant inquires, keep tenants updated and follow-up with tenants to ensure resolution
Handle after hours emergency calls if needed
Meet all daily, weekly, and monthly timelines
Inform Supervisor of any known building problems (no heat, no A/C, broken pipes, etc) and provide updates on a continuous basis
Call, email, text, write letter as needed to get results
Manage the door shaker, Deggie, invoicing and reports
Move in/move out tracking, follow-up and key arrangements and key return
Assist with invoice processing.
Provide purchase order tracking reports
Make sure requested correspondence is sent out within 24 hours
Process HVAC after hour’s requests
Track HVAC times for each building, including night back settings and institute weather action plans when necessary
Follow-up and log temperatures in problem buildings
Review manager walkthrough notes, worklists, if required
Remind managers of pending deadlines
Property site visits as required
Collect bids and write purchase orders when necessary
Help oversee portfolios when managers are absent
Document potential disputes in writing; demonstrate excellent correspondence skills
Transcribe walk through notes if required
Assist with training of new Property Managers
Accurate record keeping and organized file management
Immediately remove calls from voicemail and return tenant calls promptly
Demonstrate superior negotiation skills with contractors and vendors
Verify changes to exterior lights and pylons time clock settings
Assist with ordering routine and non-routine building supplies
Follow up on new tenant move in to assure recording of refrigerators/coolers and carpet protectors.
Roof repair letter follow up
Facilitate timely follow-through on property repairs/problems and immediate supervisors’ requests
Assist the Director of Property Management as needed
Experience using Yardi
