Job description
The Staff Assistant supports the Division of Corporate and Community Education staff in meeting strategic planning goals and in supporting divisional faculty, staff, and students.
Responsibilities and Duties:
- Assists the Vice President/designee and division leadership in carrying out the Division's operational responsibilities and special projects.
- Serves as division budget coordinator by meeting regularly with budget and financial officers, analyzing overall division and departmental budget reports, and making recommendations to the Division's leadership.
- Assists with the tracking and monitoring of budgets
- Develops and manages purchase requisitions/purchase orders
- Manages, tracks, and maintains records for vendor contracts
- Manages, tracks, and maintains instructor contracts, including pre-hiring and post hiring documents
- Manages invoicing; tracks billing and payments
- Compiles data and prepares statistical and budget-related reports.
- Communicates with external groups, individuals, and vendors on behalf of the Division's leadership by coordinating meetings, webinars, phone calls.
- Recruits hires and supervises student staff.
- Manages administrative tasks related to the Division's personnel matters, including but not limited to, leave requests, requests for personnel, and organizational charts. Initiates personnel actions on behalf of the Division's leadership in Interview Exchange.
- Assists with the preparation of (including proofing and editing) of marketing materials, such as catalogs, Constant Contact, brochures, etc.
- Implements and tracks social media accounts
- Develops and maintains mailing lists; coordinates mailings of marketing material
- Focus on the Commonwealth's Equity Agenda by applying related best practices throughout all job functions
- Performs related work as assigned by supervisor
Job Requirements:
- Associate's degree
- Minimum of 3 years of experience in a fast-paced, high-traffic office environment
- Proficiency with Microsoft Word, Excel, PowerPoint and Outlook
- Demonstrated ability to work independently
- Exceptional organizational skills and planning ability
- Demonstrated ability to manage multiple projects simultaneously
- Sound decision-making and judgment with good critical thinking skills
- Demonstrated attention to details
- Excellent verbal and written communication skills
- Excellent customer service skills
Preferred Qualifications:
- Bachelor's degree
- Experience with databases
- Project planning and coordination skills
- Supervisory skills
- Critical knowledge of and usage of Banner, Interview Exchange, Self-Service Time and Attendance systems
- Knowledge of Canvas Learning Management System
- Experience working in higher education, preferably in a community college
- Knowledge of contracts for vendors
- Ability to work constructively with diverse workforce and student population

Additional Information:
Position Status: Non-Unit Professional, full-time state funded with benefits.
Hours: 37.5 hours/week
Salary: $52,478 - $65,598 annually
Worksite: Assignments will include all Massasoit sites.
