The University of Miami is currently seeking a Sr. Program Coordinator to work with the Department of Theatre Arts and Art and Art History. The Sr. Program Coordinator provides general oversight of the day-to-day operations of the BFA and MFA program s and the Box Office of The Jerry Herman Ring Theatre. An employee in this position demonstrates familiarity with University policies and procedures and ensures program compliance.

The Senior Program Coordinator provides administrative support to faculty and acts as a liaison between faculty, students, and other Universities. This position assists in the development, monitoring, and reporting of departmental budgets.

Department Specific Functions

  • Develops, maintains, and reconciles the operating budget and annual calendar in collaboration with the Fiscal Officer.

  • Develops and implements plans for audience development and subscription ticket sales, including publicity releases, print and media advertising, mailings, on-line ordering and other marketing and public relations campaigns. Understands and leverages digital platforms to optimize performance.

  • Work with chair, artistic director, and fiscal officer in the development and implementation of a comprehensive strategic marketing and public relations plan. Provides market analysis and recommends avenues for advertising and improving publicity within targeted markets. Drives the growth, engagement, and regular maintenance of all social channels.

  • Manages computerized ticketing system, including software changes, updates and formats, hardware maintenance and communication with software vendor. Supervise and process the season subscriptions renewal process.

  • Reconciles daily box office receipts, prepares transmittals and deposits, and administers accounting reports for cash flow and ticket revenue.

  • Hires, trains, schedules, and supervises student staff. Supervises the front of house activities for productions, including ushers and box office personnel. Supervise and process the season subscriptions renewal process. Ensures employees are trained on controls within the function and on University policy and procedures.

  • Ensures the professional operations of all ticketing, concessions, and front of house activities for the Jerry Herman Ring Theatre and Studio Season and other scheduled events to include evening and matinee performances of productions along with event rental of the JHRT.

  • Supervise performances and participate in the season selection committee providing feedback on prospective ticket sales for potential play selections.

  • Work with chair, artistic director, and fiscal officer to obtain production rights for department productions. Use the university contract process to finalize licensing agreements.

MINIMUM QUALIFICATIONS

Education:

High school diploma or equivalent.

Experience:

Minimum 3 years of relevant experience. Any relevant education, certifications and/or work experience may be considered.

Knowledge, Skills and Attitudes:

  • Skill in completing assignments accurately and with attention to detail.

  • Ability to analyze, organize and prioritize work under pressure while meeting deadlines.

  • Ability to process and handle confidential information with discretion.

  • Ability to work evenings, nights, and weekends as necessary.

  • Proficiency in computer software (i.e. Microsoft Office).
