Farnsworth Group is seeking a
Sr.
Administrative Assistant in our
Peoria, IL office. In this role, you will perform a wide range of administrative and office support activities with a specific focus to provide administrative and operational support to the CEO.
Job Activities:
- Maintain CEO's calendar including scheduling business meetings, appointments, speaking engagements, conferences, and travel
- Assist the CEO with a broad variety of administrative duties including composing and preparing correspondence, gathering documents, maintaining records, and sending communications
- Keep the CEO advised of time-sensitive and priority issues, ensuring appropriate follow-up
- Assist and support in the preparation of meetings including meeting materials and documentation as well as tracking meeting progress and follow up items
- Attend meetings and take notes of discussion; prepare the initial draft of minutes and summaries
- Perform research and assist technical staff with special projects
- Work effectively as an integral member of a team of administrative professionals
- As part of a team, provide support for front desk and other office tasks, i.e., answering phones, greeting customers, and relaying important information promptly and clearly
- Manage sensitive matters with a high level of confidentiality and discretion
- Other additional duties as assigned including supporting other departments or executives as needed
Minimum Requirements include:
- Associates Degree in Business Administration or equivalent combination of education and experience, required; Bachelor’s Degree in Business Administration, preferred
- 8+ years of administrative support experience, preferably with an Architectural/Engineering or legal firm
- Office management experience, preferred
- Must be detail-oriented and set high standards for quality
- Must be a creative problem-solver, unafraid to evaluate and adjust existing procedures
- Strong oral and written communication skills and proven organizational abilities required; along with the ability to assign priority, meet and manage multiple projects and deadlines
- Must demonstrate the ability to take initiative, anticipate needs, and exercise independent/sound judgement
- Proficiency with Microsoft Applications (Word, Excel, PowerPoint)
