Office Manager


Under the supervision and direction of the Head of Operations and Growth, the Office Manager will provide a high level of administrative and business support to the executive team and administrators on the AZACS main campus.


Duties:

  • Provide administrative support as needed, such as scheduling meetings, managing calendars, processing paperwork, mailing, shipping, and updating databases.
  • Helps to plan and manage logistics and preparations for school and staff events and activities as needed (making photocopies, setting up for special events, ordering food and supplies, making phone calls to confirm attendance, etc.).
  • Serves as the back up to the Sr Registrar when sending out SchoolMessenger notices.
  • Processes incoming mail and package deliveries daily and ensures they are delivered to the appropriate person according to the process for receiving, tagging and delivering packages, including documenting and checking in each order.
  • Creates requisitions and places orders as requested.
  • Works with IT and Facilities to tag assets.
  • Manages teaching supplies by keeping inventory and placing orders as needed.
  • Ensures campus staff lounges are kept clean, organized, and stocked with supplies.
  • Orders office and kitchen supplies and maintains inventory as needed.
  • Assists with facilities/maintenance purchases and service calls.
  • Serves as backup to the front desk receptionist as needed.
  • Assists Campus Directors as needed.
  • Train on the AOI attendance process as support as a back up as needed to this process.
  • Complete and monitor for finalizing Time and Effort Logs as directed.
  • Performs other special projects and duties as necessary and requested.

Minimum Qualifications:

  • 2-3 years of experience in administration or operations.
  • Excellent verbal and written communications skills, within all levels of the organization.
  • Proficient in Google Suite and Microsoft Office.
  • Must be self-motivated, independent and able to work with minimal supervision and in a collaborative environment.
  • Must have excellent customer service for external and internal customers.

Required:

  • Arizona IVP Fingerprint clearance card

ADA AND OTHER REQUIREMENTS:

Positions in this class require: stooping, crouching, reaching, standing, walking, fingering, grasping, feeling, talking, hearing, seeing and repetitive motions.


Physical Requirements:

Exerting up to 50 pounds of force occasionally, and/or up to 20 pounds of force frequently, and/or a negligible.


Working Conditions:

Work is routinely performed in an indoor environment.
