The Scheduling Coordinator is responsible for the overall satisfaction of our Clients. Ensuring that clients' schedules are staffed by our dedicated and knowledgeable caregivers, answering phone calls, clients' questions, and checking in on them from time to time. This position builds relationships with potential and current clients and their families. Ensuring that their needs are met and that they are receiving the absolute best care possible!
Being on call is a shared requirement among office staff and the Scheduling Coordinator is required to work 1 to 2 days a week including some weekends.
We are looking for candidates with exceptional customer service, great communication skills (verbal and written), scheduling experience, and excellent phone etiquette.
Job Responsibilities:
· Manage client schedules, phone and email communication, data entry, and general office tasks.
· Communicate with patients and families regarding home care needs.
· Schedules caregivers for both new and existing clients
· Match clients and staff to achieve compatibility and client/family satisfaction.
· Manages staff absences to ensure that client schedules are staffed as required.
· Manages employee punctuality and schedule compliance.
· Ensure that Caregivers are in compliance prior to scheduling.
· Participate in office after hours "on-call" including weekends to manage clients/caregivers’ issues, emergencies and staffing call outs.
· Answer incoming calls.
· Provide administrative assistance to Branch Manager as needed
Qualifications
· High School Diploma required (Bachelor's preferred).
· Minimum of 2 years’ experience working within a healthcare office setting.
· Knowledge of HIPAA and healthcare office regulations.
· Excellent organization, planning, and project management skills.
· Time management and prioritization are key.
· Ability to multi-task and handle multiple phone lines.
· Computer skills are a must - Outlook experience helpful!
