The role of Sales Operations Specialist is a new function at Kofile. To support organizational growth, we are expanding our Sales Operation Team to ensure completeness, accuracy, and timeliness of order processing from booking to production.
Responsibilities include the review of incoming customer purchase orders, including validation of all order information such as executed proposals, contracts, purchase order receipt, billing information, inventory intake (customer materials to be addressed), and pricing.
The Sales Operations Specialist will collaborate with various operating departments including finance, project management, operations, and the sales team to support customer orders intake delivering elevated levels of customer satisfaction.
Responsibilities include:
- Daily monitoring of Salesforce opportunities to validate and process all deals that are ready to be closed in the CRM (I.e., contract, inventory and pricing, sales order information, etc.)
- Create, edit, and submit NetSuite sales orders in adherence to company guidelines and processes, such as the billing and shipping addresses, contact information, sales order details, and inventory and pricing
- Analyze and interpret data between the inventory and pricing, quote, and sales order
- Ensures customer specifications are followed for critical orders and resolves discrepancies
- Work closely with Sales, Production, Finance, and other dependent functions to provide, in a timely manner, updates regarding sales orders
- Work closely with the Sales Team to identify, communicate, and resolve order issues while educating them on order policies and guidelines
- Assist in building scalable processes, supporting documentation and training materials designed to increase operational efficiencies
- Maintain positive and professional communications to resolve opportunity/order issues in a timely manner
- Bachelor’s degree or equivalent work experience
- Minimum of 2 years order processing and sales support
- Experience working with Salesforce Lightning and NetSuite preferred
- Excellent attention to detail and a high level of accuracy is required
- Excellent verbal and written communication skills
- Intermediate use of Microsoft Word, Excel, and PowerPoint
- Excellent data entry skills to quickly and accurately review and input data
- Strong organizational skills; able to manage priorities with little oversight
- Ability to prioritize assignments with a strong adherence to deadlines
