Release of Records Specialist
This is a remote position with the option of a 9/80 flex work schedule.
Summary
Manages all release of records requests for the agency.
Primary Duties
- Process all incoming Release of Information Requests for the entire agency.
- Reviews all requests for information for proper authorization.
- Responds to requests that are not HIPAA compliant.
- Tracks all requests, implements systems for performing quality checks.
- Ensures all requests for information are answered within the established time requirements.
- Processes all subpoenas, in accordance with HPAA regulations, state and federal regulations.
- Answers questions regarding HIPAA regulations from staff.
- Provides training on release of information processes as needed.
- Handles all inquiries regarding record requests.
- Liaisons with business associate(s) for processing third party request for information.
- Verifies patient identity, confirms authorization validity; ensures requesting party has legal right to request PHI.
- Promotes quality improvement, staff and patient safety, and cultural diversity through job performance and department operations.
- Maintains knowledgebase related to regulations, guidelines and standards.
- Protects and safeguards patient rights to privacy by ensuring only authorized individuals have access to medical records in compliance with requests, authorization, HIPAA statues, and company policy.
- Collaborates closely with other departments within the agency; consults with Program Leadership as needed.
- May attend court hearings for the purpose of transporting records in compliance with regulations.
- Participates in the investigation of all reports of HIPAA breaches and recommends plan of correction.
- Must be familiar with all Federal and State privacy and security laws, regulations and requirements.
Position Requirements
- At least an AA degree, BA preferred
- At least 2 years of experience in the field of record requests and release of information
- Meticulous attention to details to ensure accuracy and completeness of agency records
- Ability to juggle multiple deadlines
- Very clear oral and written communication skills
- Demonstrates strong customer-service oriented interpersonal skills
- Certification/documentation as a Registered Health Information Administrator (RHIA), Certified Coding Specialist (CCS) or Certified Professional Coder (CPC) certification (preferred) preferred
- Knowledge of Federal, state, local laws and regulations governing behavioral health
- Knowledge of principles, practices and legal requirements related to HIPAA
