The Regional Events Manager will support all firm events (external/client-facing and internal/attorney-facing) across our practices and industry groups in addition to supporting our Philadelphia office and Northeast markets. The position reports to the Director of Events and is based in Philadelphia.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Responsible for planning, budgeting, coordinating, and tracking all firm events, retreats, seminars, and conferences both in-person and virtual (external/client facing and internal/attorney facing).
  • Work directly with firm leadership and the events team on recording, tracking, and allocating firm tickets for client relations and business development purposes through Ticket Manager, a web-based ticket management software.
  • Cultivate strong relationships with firm partners, practice leaders, and office management to further event initiatives.
  • Provide guidance and work closely with the administrative teams (business development, practice management, legal talent, etc.) on event strategy.
  • Ability to reinforce client-to-business relations, strive to improve the firm’s image and effectively deliver event objectives.
  • Effectively manages cultural diversity in each event supporting the firm’s DEI initiatives.
  • Responsible for planning, researching, budgeting, purchasing, and tracking firm promotional items.
  • Responsible for scheduling, shipping, and tracking firm booths and banners for business development or firm events/sponsorships.
  • Responsible for creating, maintaining, and tracking events through InterAction, a client relationship management (CRM) database.
  • Responsible for the design, creation, communication, and tracking of firm invitations through e-marketing software.
  • Responsible for running virtual events and webinars through video communication platforms, On24 and Zoom..
  • Maintain billing and accounts payable for events.
  • Responsible for department event deposits and invoices; timely submission and managing budget requirements for each event.
  • Provide support and expertise for all events as needed.
  • Update and maintain firm calendars ensuring accuracy to support business needs.

  • Ability to maintain a professional and client‐service oriented demeanor at all times.
  • Candidate must be service‐oriented, collegial, and able to work effectively with lawyers, staff, and vendors at all professional levels to implement successful events.
  • Ability to prioritize and complete multiple projects and/or simultaneous events with minimal supervision.
  • Maintain confidentiality when handling matters for the firm and clients.
  • Must be able to communicate ideas or positions in a clear, efficient manner in handling all event matters
  • Must display a keen attention to detail and be well-organized.
  • Must be a problem solver and highly responsive.
  • Must be able to build formal and informal networks both within the organization and outside of the organization to share information, ideas and problems.
  • Must be able to effectively multi-task and prioritize projects while meeting all appropriate deadlines.
  • Must be adaptable to the everchanging events environment.
  • Must be proficient at using Microsoft Word, Excel, Outlook, and PowerPoint.
  • Ability to travel to support firm events.

EDUCATION AND/OR EXPERIENCE:

  • BA or BS from an accredited college or university as well as seven-ten years of experience in event planning preferred.
  • Management experience preferred with experience in the Philadelphia and Northeast markets a plus.

Job Type: Full-time

Pay: $49,781.33 - $130,372.79 per year

  • 8 hour shift
