Job Summary
The Records Coordinator I position will represent Iron Mountain while working onsite at a customer's facility. Applicant must possess strong records management background and experience working in a fast paced records center environment.
Under direction of the Customer, the scope of this position includes responsibility for the following records management activities: provide customer support and assist the customer with processes and procedures related to the tracking of customer’s records. The Records Coordinator is responsible for all aspects of customer service and support related to the customer’s offsite records. This includes, but is not limited to order processing, file picking and refiling, file and carton registration (data entry), interfiling, troubleshooting and problem solving.
Key Areas of Responsibility
- Assumes responsibility for records management program administration and coordination.
- Performs basic records center operations in accordance with established RIM procedures.
- Classifies and processes incoming information according to RIM procedures to meet organizational compliance requirements.
- Performs assigned data entry to populate RIM software according to established procedures.
- Informs customer’s employees about Records Management policies.
- Reviews metadata for accuracy and make changes as necessary for placing records into storage.
- Maintains accurate records and respond in a timely manner to all retrievals, accessions and destruction requests for all customers’ records according to company record retention policy.
- Performs assigned tasks supporting the administration of the organization’s approved retention schedule.
- Provides customer support via email, phone or in person, i.e., logistic and procedural support, enforce standards and promote best practices.
- Demonstrates ability to utilize technology effectively in support of RIM program.
- Trains business on Electronic Records Management System (ERMS) transfer/retrieval process.
- Processes vital records for offsite scanning/microfilming.
- Assists Records Manager with driving overall program improvements for assigned Records Center Operations.
- Processes business orphaned records remediation.
- Manages day-to-day activities (security changes, billing, etc.) related to business with Supplier.
- Supports various projects designated by customer, e.g. legacy box remediation, acquisition/divestiture box transfers, site closure/department relocation box transfers, defensible disposition efforts and litigation requests.

- Proficiency in computer skills in a PC environment.
- Must be able to lift 40-50lbs
Educational & Experience Requirements
- A minimum of two (2) years college with specialized course work in records management.
- Two (2) to four (4) years equivalent work experience in an active records environment is preferred.
