POSITION SUMMARY: The Receptionist & Guest Services Assistant position provides hospitality to visitors at the SNJM Province office and assists guests needing overnight accommodations at one of three Marylhurst campus locations. This position assists with general administrative & clerical support functions and a broad range of guest service & hospitality duties.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
1. Provides a welcoming environment to visitors and directs them appropriately.
2. Responsible for all general Province emails and phone calls.
3. Inventories and orders kitchen supplies, office supplies and oversees general upkeep of project room, including copy machine and postage machine.
4. Assists with mailings, deliveries, and performs other clerical tasks.
5. Coordinates hospitality, meeting setup, housekeeping and meals for on-campus guests, including purchasing groceries, hosting meals and cleanup following events.
6. Manages booking requests for all Province meetings and accommodations.
7. Assists as needed with travel arrangements, and special needs for Sisters and guests attending on campus meetings.

Education: High School Graduate or GED.
Experience: Minimum of 2 years office related experience.
Skills, Knowledge and Abilities:

3. Must be able to respect and maintain confidentiality of sensitive information.
4. Exceptional interpersonal, organizational, and verbal communication skills.
5. Demonstrated skill with writing and editing in English, including proficiency in grammar, spelling and punctuation.
6. Proficiency with Microsoft Office software, Adobe Acrobat Pro.
7. Flexibility and adaptability to different situations and changing priorities.
8. Enjoys working with people; able to welcome guests and assist them as needed.
9. Ability to work both independently and as part of a team.
10. Ability to analyze and prioritize work assignments.
11. Able to problem solve and offer solutions.
PHYSICAL DEMANDS AND/OR WORK ENVIRONMENT:
Position is performed in an office setting with numerous interruptions. Position requires frequent walking, prolonged periods of sitting at a desk, standing, lifting, carrying, reaching, handling, kneeling, crouching and bending. Requires ability to lift a maximum of 20 pounds.
HOURS: Full-time, 40 hours per week, Monday through Friday.
