POSITION SUMMARY
Operate telephone switchboard to answer, screen and forward calls, providing information. Assist incoming callers, greet and assist visitors to the facility. In addition, this position will provide administrative support to the President.
PRIMARY JOB RESPONSIBILITIES
Receptionist Responsibilities
- Answer phones, transfer calls, take and distribute messages.
- Assist visitors at the front desk by tracking the time in and out, creating name badges and notifying staff of their arrival.
- Monitor and distribute incoming faxes.
- Maintain a professional and organized look for the reception area.
- Maintain coffee supplies.
- Maintain office supplies.
- Apply postage and organize outgoing mail.
- Sort and deliver incoming mail.
- Type documents / Sorts documents.
- Scan and e-mail customer invoices.
- Maintain employee list.
- Perform other clerical duties as assigned.
Administrative Assistant Responsibilities
- Create and/or manipulate documents using Word, Excel and other Microsoft Office programs.
- Prepare expense reports.
- Make and coordinate travel arrangements (air, hotel, car).
- Calendar management, including scheduling of appointments and coordination of various team schedules related to joint meetings.
- Coordinate entertainment arrangements.
- Manage schedules related to operational entity reviews (internal meeting).
- Entrepreneurial Operating System administration (EOS), including
- Quarterly document preparation.
- Visual/Traction Organizer (V/TO) updates.
- Board of Advisors (BOA) meeting package preparation and printing.
- Perform other administrative duties as assigned.
QUALIFICATIONS
- High school diploma or equivalent
- Good math skills
- Some clerical work experience required

PHYSICAL REQUIREMENTS
Position requires manual dexterity for operating standard office equipment. Must be able to operate video display terminal equipment and sit for long periods of time. The employee is frequently required to stand, walk and reach with hands and arms. Good hearing is necessary to receive detailed information through oral communication. Visual acuity is needed to verify accuracy of written materials. Must have ability to work successfully under stressful conditions, and must be capable of adapting to varying workloads and work assignments on a regular basis.
