Description:

The Purchasing Assistant has attention to detail, a sense of confidentiality, and a desire for enabling continuous improvement. As a Purchasing team member, the office administrator is key to ensuring administrative support is provided to the corporate team. This candidate will possess strong people and organized skills with the ability to coordinate integrated programs by effectively coordinating projects from multiple departments. This position requires a high level of organization, implementation skills, and the ability to thrive in a fast pace environment.

  • Retrieves information as requested from records, emails, minutes, and other related documents: prepares written summaries of data when needed.
  • Responds to and resolves administrative inquiries and questions related to purchasing
  • Directs all incoming and outgoing mail and phone calls
  • Keeps all team members up-to-date with current information and paperwork
  • Communicate with team members to ensure optimal strategy and maximum efficiency
  • Types reports, purchase orders, memoranda, and other documents.
  • Researches vendors and collects prices, specifications, and other data related to goods and services.
  • Establishes and maintains a recordkeeping system for purchasing department.
  • Maintains efficiency of Purchasing Admin operations and compliance with company policies
  • Performs other duties as assigned.
Requirements:


At least one year of administrative and clerical experience required

Excellent verbal communication and writing skills

  • Ability to prioritize tasks and delegate when appropriate
  • Excellent analytical, problem-solving, and organization skills
  • Excellent interpersonal skills with the ability to establish working relationships with individuals at varying levels within the organization
  • Highly organized, strongly self-motivated, with the ability to multi-task activities with shifting priorities
  • Demonstrated ability to coordinate matrixed resources and drive measurable results
  • Ability to learn company-specific system to track deadlines, submittals, and follow up
  • Ability to travel for local office errands
  • Computer skills using MS Office Suite, GSuite,
  • Excellent interpersonal and telephone communication skills are required.

PHYSICAL REQUIREMENTS

Considerable physical activity. May require prolonged periods of sitting at a desk and computer work.

WORKING ENVIRONMENT

Work is normally performed in an interior/office work environment.
