Job Description


The Property Management Associate provides general administrative support to the Property Manager at its Pine View Circle property. The Property Management Associate helps with entering applications, entering work orders, and closing work orders, and day to day operations of assigned properties. They will also assist with payments, collections, notices, and mail distribution.

Salary range: $35,000-$38,000

DUTIES & RESPONSIBILITIES

Lease-up and Renewals

  • Entering Applications received from prospective residents;
  • Contact applicants regarding application details to work out issues;
  • Review applications for compliance to ensure entry onto appropriate waiting lists;
  • Complete regular audits of waiting list and application files;
  • Answering all calls and questions from applicants;
  • Documenting any changes in application information;
  • Prepare, process, and sign leases and all related rental forms with tenants as needed;
  • Prepare new resident move-in packets;
  • Property Showings as needed;
  • Process new resident files hard copy and digitally in Boston Post;
  • Under direction of the Property Manager, maintain tenant files, rosters and rent rolls;
  • Keep Property Manager apprised of any issues.

Collections

  • Travel to various properties to collect rent payments;
  • Enter rent payments into software program and follow up on any issues;
  • Assist with monthly delinquency notifications and reports;
  • Assist in answering questions regarding account balances;
  • Aide Property Manager with eviction documents as needed;
  • Review correspondence received from residents and agencies regarding collections;
  • Follow up with residents, agencies, and Property Manager as needed regarding payments and collections;
  • Documenting any payment issues in software;
  • Filing of paperwork and documents for collections and evictions.

General Administration

  • Cover Office Hours for assigned properties;
  • Assist with main office front desk coverage as needed;
  • Take incoming calls for maintenance requests and any other items as needed;
  • Enter and close all work order requests received;
  • Follow up with maintenance regarding any questions relating to work orders;
  • Apply any resident charges as necessary and send invoices to residents;
  • Provide information regarding rental management program;
  • Prepare reports re applicants and residents as requested;
  • Answer phone calls, distribute mail, receive tenant complaints, confirm information and agreements through correspondence, referring to appropriate individual for follow-up action;
  • Draft and deliver resident notices as needed;
  • Keep Property Manager apprised of all tenant issues;
  • Filing all applicable paperwork as necessary;
  • Assist Property Manager with special projects and overall management of portfolio as needed.

Qualifications


High School Diploma/GED or Equivalent

Good communication and problem-solving skills. Detail oriented and organized. Strong communication skills. Able to work both independently as well as within a team while able to perform in a busy, changing, multi-tasking work environment. Must be reliable and dependable.

Intermediate proficiency in Windows-based MS Word and MS Excel.

Personal qualities of integrity, credibility, and a commitment to the INHS mission to revitalize neighborhoods and to assist low- to moderate-income people in obtaining quality housing on a long-term basis.

Preferred: Previous office experience and/or experience in affordable housing or Property Management. Experience working with a software program such as Yardi or Boston Post.

TRAVEL

Travel around the service area, including out-of-county, will occur routinely. A valid driver’s license and access to transportation is required.
