Property Administrator
Overview
Responsible for supporting the Property Managers with administrative duties including preparing work orders, maintaining property files, and tenant and vendor customer service.
Reports to: Property Manager
Location: Fall Creek/The Point/The View (Indianapolis, IN)

Essential Functions and Responsibilities
- Assists with tenant and vendor customer service. Take work order requests and follow up to ensure the work was completed
- Electronic filing and file organization.
- Coordinates tenant appreciation activities, newsletters, communications.
- Assists in the preparation of common area maintenance (CAM) calculations and prepares related tenant correspondence.
- Administers annual Tenant/Client Surveys.
- Coordinate tenant parking where applicable.
- Issue and track access codes, keys, etc.
- Coordinate new tenant transition and welcome packages.
- Keep property keys organized and labeled.
- Update tenant and emergency contact lists to be distributed to maintenance staff.
- Work with the A/P Department to update supplier listings for maintenance staff.
- A/P Coding – monitor utilities, ensure proper billings by vendors and suppliers per contracted service
- Assist with new property transitions – setting up utilities, drafting letters to be sent to tenants and vendors, obtaining information from tenants and vendors, organizing electronic files, set up new files, etc.
- Set-up e-mail correspondence to tenants.
- Contract Services – Bid packages, summaries, contract prep and distribution with PM Approval.
- Maintain current certificate of insurance copies for all tenants and vendors.
- Coordinates and assigns tasks to co-workers within a work unit and/or project. Coordinates the work to be completed but is not responsible for formal supervision of employees.
- Other duties may be assigned.
Qualifications/Requirements
- High School diploma or general education degree (GED) and a minimum of two to four years of related experience and/or training.
- Ability to comprehend and interpret instructions, short correspondence, and memos and ask clarifying questions to ensure understanding. Ability to write routine reports and correspondence. Ability to respond to common inquiries or complaints from clients, co-workers, and/or supervisor. Ability to present information to an internal group.
- Requires general knowledge of financial terms and principles. Ability to calculate simple figures such as percentages.
- Ability to understand and carry out general instructions in standard situations. Ability to solve problems in standard situations. Requires basic analytical skills.
- Intermediate skills with Microsoft Office.

Job Type: Full-time
Pay: $17.00 - $19.00 per hour
