Position Overview:

The primary purpose of the Project Coordinator position is to document and proactively support the execution of STN creative and client projects. The Project Coordinator will be responsible for ensuring the schedule, budget and details of a given task are well organized and executed correctly. They will also handle administrative tasks for the project management team to keep all initiatives running smoothly.

Responsibilities:


  • Collaborate with Sales/CS/CD (as needed) to establish and manage production schedules for new pitches & client projects.

  • Schedule internal meetings for check-ins and review and take thorough notes. Meetings are run effectively and scheduled to ensure we meet deadlines.

  • Review project details in Wrike tasks prior to assigning to the designer. Guarantee the creative team feels supported because they have all the information they need to deliver on-time and of consistent high quality.

  • Assist Senior PM & CPM with delegation of design team on a daily basis ensuring no designers are exceeding capacity, and best talent is allocated for project requirements.

  • Collaborate with Sales and/or Client Services to establish and maintain detailed project briefs in Wrike for pitches and client requests. Wrike tasks are organized, thorough, clearly state the project details and client ask and shared among all stakeholders for easy reference.

  • Participate in weekly meetings with the Creative Director to provide status updates on priority design projects and IC needs.

  • Assist in Recruitment of freelancers (ICs) as needed based on quantity and type of work.

  • Support the onboarding of creative freelancers (ICs) - DocuSign, identifying rates, etc.

  • Complete a monthly audit of ICs and report findings to management to ensure designers are taking the appropriate time on projects and assist in more efficient workflows and find shortcuts to produce the same HQ result.

  • Execute monthly reconciliation process for all freelance invoices received - compare against Wrike inputs for accuracy.

  • Clear grasp of industry trends through creative recommendations on what’s trending and how STN should drive creative, as shown through creative concepts.

  • Assist Creative and Client Services teams with ideating concepts for new and existing clients as capacity allows.


Qualifications:

  • At least one year of experience with digital agency project management (or equivalent experience)
  • Thorough knowledge of the creative process
  • Effectively coordinate and support a design team
  • Expert with Twitter, Facebook, Instagram, Snapchat
  • Ability to work and thrive as a self-starter in a fast-paced and ever-changing environment
  • Extremely organized with proven ability to independently manage multiple projects and fast timelines
  • Unmatched work ethic and deep attention to detail
  • Excellent written and verbal communication skills
  • Experience with Content Management Systems, Google Apps, Slack and Gantt charts
  • Positive attitude and a great sense of humor
