As the Fulfillment Coordinator, you will be responsible for coordinating the fulfillment of a variety of projects within the ministry. In this role, you will serve as the point of contact for our outside vendors and other projects.
Job Responsibilities:
Working with Vendors
- Communicate project details with various vendors
- Get pricing and timelines for all fulfillment projects
- Complete purchase orders process before placing orders
- Responsible for placing project orders with vendors
- Responsible for working with vendors on proofing, identified problems, changes, delivery or shipping date, etc.
- Receive and review proofs prior to forwarding to creative team
- Receive and confirm final pricing from vendor and approve invoices
- Pick up projects from various vendors, as needed
- Inspect projects upon delivery and ensure delivery to the correct internal department
- Research new vendors that can expand the various capabilities for ministries at FLC/FLN
Working with Creative Department
- Communicate printing specification requirement for vendors
- Create back off schedule for various projects based on vendor requirements
- Consistently follow up on projects to ensure deadlines are met
- Supply various options for design such as types of paper, various printing processes, binding, folding, etc. to help achieve desired results at the most economical price
- Manage all communication between the Creative team and vendors
- Responsible for receiving and filing hard copy samples of all projects
- Responsible for reviewing and archiving all digital proofs for all projects
- Gather additional information about projects from other staff members and department
Working with Data Processing / Business Office
- Request various mailing list and event codes
- Monitor and update dates required for mailing list
- Communicate bad address reports from vendors to Data Department
- Calculate cost per unit cost and file
- Receive instructions concerning mailing list and communicate with print vendors
- Reconcile postage statements and monitor funds
- Submit Postage request based on upcoming projects
- Submit and monitor purchase orders prior to placing orders
- Request checks or PEX cards for payments to vendors as needed
Minimum Required Qualifications:
- High School diploma or GED
- 2+ years of project coordinator experience
