Job description
Primary Purpose:
Under direct supervision of the Personnel Services Employment Specialist, provide a wide variety of both clerical and staffing services in support of applicants, new and existing employees, and retiring or resigning employees.
Qualifications:
Education/Certification:
High school diploma or GED
Special Knowledge/Skills:
Proficient keyboarding skills
Effective organization, communication, and interpersonal skills
Ability to follow written instructions
Ability to operate the multi-line phone system
Experience:
One-year clerical experience in an office setting
Major Responsibilities and Duties:
Reception and Phones
- Serve as the district resource person for questions in regard to the various operations and services of the Personnel Services Department.
- Assist in all onboarding processes and orientation.
- Register all new employees into the staffing system, and issue welcome packets and badges.
Other
- Provide support for the Personnel Services Specialist.
- Present the district in a positive way to the applicants and community we serve in a professional manner.
- Serve as a resource to all employees in answering their questions or attempting to send them in the right direction to get their answers and take reliable messages.
- Assist with the filing and the confidentiality of personnel files in the office.
- Assist with creating new personnel records for all new employees after all records are in order.
- Assist in staff development provided by the Personnel Services office.
- Assist applicants in filling out online applications.
- Receive, sort, and distribute mail, messages, documents, and other deliveries.
- Work cooperatively with payroll and other Personnel Services staff.
- Assist with employees in a disruption of any district operation that is beyond the control of the district (e.g., lack of school funding, natural disasters, court orders, public insurrections, pandemics, war, etc.).
- Assist employees in the resignation/termination process to ensure proper paperwork and technology have been submitted.
- Adding new hires into Skyward.
- Maintaining an up-to-date list of new hires for new hire sessions and notifying other departments.
- Attend to and assist walk-ins as they arrive at the office.
- Completing verifications of employment (excluding those requiring salary information).
- Contacting leavers with the employee exit process and assisting with any questions in regards to leaving the district.
- Verification of I-9s for new hires.
- Making sure to contact new hires that have not completed their electronic paperwork and new hires that need to sign up for new hire sessions during the new hire season.
- Maintain confidentiality.
