Job Summary:

The Payroll Manager is responsible to troubleshoot, oversee and direct all payroll transactions for Panorama Mortgage Group (PMG), and to establish effective, efficient, customer-centric payroll processes and procedures for the Company.

The Payroll Manager is responsible for all elements of timely preparation and accurate processing of PMG’s payroll schedules which include new hire and separation processing; retroactive payments; coordination with leave of absence policies and subsequent payments, tax obligations, compensation changes, bonuses, commissions, and deductions. The Payroll Manager role implements payroll initiatives and projects which requires strong technical and communication skills and the ability to simultaneously manage tasks to meet established standards and deadlines. The Payroll Manager will partner with various business units including Accounting, Human Resources, and Sales to achieve these goals.


General Responsibilities

  • Execute timely and accurate processing of payroll, commission, and bonus payrolls through direct deposit, live checks, and/or wire transfers when necessary for approximately 500 employees in multiple states and d/b/as.

  • Process supplemental payroll and any out-of-sequence checks such as separations and corrections

  • Audit timecards for accuracy, approvals, overtime trends

  • Work with PMG’s payroll provider to prepare, review and file quarterly/annual payroll tax reports and W2s

  • Work with PMG’s payroll provider to address withholding tax notices from federal, state, and municipal authorities

  • Ensure all local, state and federal government requirements are met, such as unemployment registration, taxes, and withholdings

  • Respond to auditors’ requests related to payroll and assist with annual financial, Workers Comp, and 401K audits

  • Respond timely to payroll requests and resolve employee issues and escalations, including wage garnishments and general state questionnaires

  • Manage 401K activities and interact directly with the 401K provider to ensure proper handling and verification of employees’ loans, repayments, distributions, rollovers, and payroll contributions; partner with Sr. Benefits Administrator to provide yearly census and compliance testing to 401K provider

  • Identify and implement process modifications based on changes in rules, regulations, emerging issues, and trends

  • Create and/or update policies and procedures related to payroll processing as needed

  • Working knowledge of and governance of payroll system(s) and reporting

  • Perform duties as a Payroll Specialist when needed; able to fully run payroll cycle.

  • Understand and be capable of working with the company Accounting system (AMB knowledge a plus)

  • Possess knowledge of both Accounting and Payroll.

  • Create policies, procedures, and systems that support internal customers and ensure excellence in customer service.

  • Reconcile benefits invoices in partnership with Sr. Benefits Administrator


Supervisory Responsibilities:

This position supervises the payroll team.


Requirements:

  • Bachelors degree or equivalent combination of education and experience

  • Certification (e.g. CPP, CPM) preferred

  • At least 5 years of experience processing multi-state payrolls

  • Strong sense of urgency and ability to handle a high volume of data with confidentiality, accuracy and discretion

  • Proven experience as a payroll manager or similar role

  • Current knowledge of payroll procedures and related laws

  • Excellent understanding of multi-location payroll and taxes

  • Experience managing payroll for commissioned employees; experience in financial services sector is an advantage

  • Familiarity with payroll software/ HRIS Experience in Paycom payroll software a plus

  • Frequent use of MS Office (regular use of Excel)

  • Ability to run and create reports and to analyze payroll data

  • Experience in the mortgage industry a plus

  • Organized and able to communicate and respond in a timely manner and in accordance with department SLAs

  • Able to comply with the policies and procedures outlined in the Company Handbook


Physical/Sensory Requirements:

  • Must be able to lift 25 pounds at a time

  • Bend, stoop and stretch as needed

  • Prolonged periods of sitting, standing and or ambulating (Employee has some control over the length of time)

  • Prolonged use of computers, telephone, and other standard office equipment which includes reading, writing, listening or speaking

  • Fluency in English language (written, oral, spoken); fluency in a second language desirable
