POSITION TITLE: Patient Appointment Scheduler

DEPARTMENT: Patient Access

REPORTS TO: Centralized Scheduling Supervisor


The Colorado Equal Pay for Equal Work Act requires employers in the state of Colorado to disclose the following information. Hourly (salary) minimum $16.88, hourly (salary) maximum $18.22. The base hourly (salary) range above represents the low and high end of the range for this position. Actual hourly (salary) rates may be above or below the range based on various factors including but not limited to: experience, education, and training.

Pay is just one component to prospective employees’ compensation package. Compensation also includes a 10% PRN differential and may include shift differentials. In addition, Grand River Hospital District offers benefits including employee assistant programs and paid sick time.


JOB PURPOSE: To improve the health and wellbeing of our communities.


BASIC FUNCTION: Offer an exceptional patient experience in the phone scheduling office of Grand River Health. Responsible for answering phone calls and scheduling appointments. Triages phone calls as necessary. May conduct patient pre-certification to ensure coverage for appointments and medical care. Perform duties related to scheduling appointments via phone, making appointment reminder calls and taking messages for the medical staff. Maintains positive, professional, and helpful demeanor in carrying out duties and always puts patient needs first. Offers a friendly environment for scheduling patient appointments and relaying messages to providers. Serves as the first point of contact for patients and portrays the organization in positive, professional light. Communicates continuously with patients and coworkers. Performs a variety of tasks and other duties as assigned.


QUALIFICATIONS:

Education: High school diploma or equivalent preferred


Experience: Experience in clinic or hospital setting preferred. Bilingual in Spanish/English preferred.


KNOWLEDGE, SKILLS AND ABILITIES: Knowledge of and ability to use industry standards, policies and procedures relevant to function and organization. Knowledge and proper use of grammar, spelling, punctuation, proofing, document formatting and basic math skills. Familiarity with all office equipment including but not limited to copier, multi-line telephone system and fax machine. Skills needed to effectively communicate with patients, coworkers, and providers. Must have exceptional oral and written communication skills, interpersonal skills, and the ability to work well and communicate with others. Must have effective problem solving skills and be able to handle multiple tasks with interruptions. Must be able to demonstrate accuracy in processing detailed information. Comfort developing positive relationships with team members and providers. Ability to maintain strict confidentiality in relation to HIPAA regulations and protected health information. Must be proficient within six (6) months of hire in Allscripts Touchworks, Allscripts PM, Touchart, FMH Dashboard, Galactica, Meditech, HealthStream, and Kronos.


GENERAL COMPLIANCE REQUIREMENTS: Has knowledge of and adheres to all compliance regulations, policies and procedures. Completes annual compliance, privacy, and security training. Responsible for complying with all federal, state and local rules and regulations. Complies with the all Grand River Hospital District policies and procedures, the Code of Conduct and the Compliance and Ethics Program requirements. Reports any observation of fraud, waste, abuse, and/or privacy violations. Reports any conflict of interest or relationship immediately.


HEALTH INFORMATION PORTABILITY AND ACCOUNTABILITY ACT (HIPAA): Ensures and adheres to strict confidentiality when handling patient information, according to the HIPAA Privacy Act and hospital policy and procedure regarding confidentiality. Complies with all hospital information security practices.

WORKING CONDITIONS: There may be repetitive motions of the wrists and hands, extended periods of stationary activity and other conditions common to a clerical management position. The noise level in the work environment is usually low to moderate. The employee may be subject to daily exposure and risk of blood borne pathogens, bacteria, toxic substances, body fluids, communicable diseases, equipment noise and occasionally the combative patient. Other conditions may exist which are common to the hospital patient floor environment and a clinical health care setting.
