About Oxford Biotherapeutics:
Oxford Biotherapeutics is a clinical-stage biotechnology company for the development of antibody therapeutics for the treatment of cancer. You will play an integral role in the pre-clinical development of novel immuno-oncology therapeutics. Our OGAP® platform is the world's largest, cancer specific, membrane protein library, directly measuring plasma membrane protein expression in patient tumors. OGAP is used to identify novel, highly tumor specific antigens for novel first-in-class ADC, Bispecific T-cell Engager (BITE®) and Chimeric Antigen Receptor (CAR) targets. Our lead asset, OBT076, is an Antibody Drug Conjugate (ADC) in Phase 1b clinical development. Our clinical and pre-clinical pipeline of novel biologics is balanced between internal programs, focused on ADCs and checkpoint regulators, and externally partnered programs with key innovators in oncology such as Boehringer Ingelheim, Immunogen and Genmab.
Purpose of the role:
This is an ideal role for someone who can juggle a variety of administrative and coordination tasks with ease. The position requires someone who is able to work with people at all levels throughout the organization and is administratively efficient. The role demands an individual who can undertake a range of functions to make sure the administration activities within the organization run smoothly. They may be responsible for assisting several functions with activities involving finance, travel bookings and office assistance. This is a part-time role and is based in the San Jose office. Remote and hybrid working are not possible for this position.
Roles and Responsibilities
General Office Assistance:
- Meeting and greeting visitors to the offices
- Sorting and distributing mail
- Scientific document management – order and distribute scientific publications on behalf of research scientists
- Arranging couriers
- Ordering office supplies
- Meeting room management and admin
- Filing
- Provide ad hoc admin services for colleagues in the office
Travel Bookings
- Assist the employees with travel bookings and administration
- Liaison with appropriate 3rd parties such as taxi companies, airlines, hotels etc.
Finance Administration:
- Raising purchase orders (POs) for US office and manage the status of purchase orders
- Logging, checking and sending out for approval and filing of invoices on company's electronic system
- Management of US Finance mailbox
- Keeping PO and Purchase Invoice log up to date
- Updating US clinical trials information to generate the finance accrual
- Management of vendor correspondence to include new vendor setup
- Manage Zageno account administration and expense reporting
- US point of contact/expert for SAP concur (expense system)
- Assist with US state sales tax reports
- Finance document management in SharePoint
- Credit card reconciliation as required
- Ad hoc tasks for VP of Finance
Knowledge, Skills and Experience
- Previous experience of a similar role would be a distinct advantage
- A great customer service approach would be required
- Excellent oral and written communication skills
- High level proficiency in using the full suite of Microsoft Office software.
