Onsite Event Coordinator

Pay rate: up to $26/hour, based on experience.

Whippany NJ & Morristown, NJ

8:30am-5:30pm work schedule (Evenings and Weekends as Needed)

Responsibilities:

  • Support all on-site events requests to include but not limited to:
  • Verify Dates, availability of venue space, elements of support and booking confirmation.
  • Work cooperatively and jointly with internal stakeholders and vendor partners to ensure quality customer service and delivery.
  • Ensure service excellence in day-to-day operations.
  • Strives to improve service performance and enhancements to ways of working.
  • Be the liaison between event requester and vendor partners (i.e. – catering, IT, AV/Media, Security, etc.)
  • Anticipation and responds to needs and concerns of customer in a timely manner.
  • Attends weekly Event Order Meeting with Facilities and other departments for upcoming events.
  • Receives and responds to all requests or issues within 1- business day of receipt, including a personal follow up to Bayer employees to ensure questions / requests are answered. Ensures responses are timely during operation of all meetings and events.
  • Identify potential risks and escalate, as appropriate, to ensure no privacy breach, security incident or disruption to the Bayer operations occur.
  • Collaborate with communications for messaging of site-wide employee events.
  • Be flexible (Bayer LIFE values); offer solutions.
  • Support the Facilities Team as needed to meet the needs of clients and partners.
  • Provide assistance and direction according to the customer’s requests, appropriately handling queries from employees, visitors, and guests with timely response.
  • Document process and procedures regarding best practices and develop standard operating procedures or updates procedures in place when necessary.
  • Communicates to organization regarding processes for holding meetings and events on a Bayer campus in NJ.
  • Contribute to developing policy regarding management of on-site events.
  • Perform additional facilities related job duties, as requested.

Requirements:

  • 2-5 years prior experience in on-site event services/hospitality preferred.
  • Highly collaborative approach to business with the ability to adapt to changing conditions and priorities.
  • Excellent time management, verbal, and written communication skills with the ability to communicate in a clear, concise professional manner.
  • Ability to simultaneously handle multiple tasks and projects, working under tight, last-minute deadlines.
  • Delivery results in a fast-paced environment with a record of accomplishment of initiative, integrity, and good judgement.
  • A willingness to learn new technology is a must.

Preferred Qualifications

  • Certified Meeting Planner Certificate or Hospitality Degree preferred.
  • Knowledge and experience in/with Cvent are preferred.
