The National Asian Pacific Center on Aging is seeking candidates 55 years of age and older for the position of Administrative Assistant Office of Federal Activities/NEPA Compliance Division with the U.S. EPA Senior Environmental Employment Program.

This position offers a hybrid schedule of in-person and telework.

Qualifications:

Must be a minimum of 55 years of age (in accord with Public Law 98-313 and the Older American Workers Act), U.S. Citizen; BA/BS, Minimum 5 years Executive Office Management, Business, Communications.

General Summary:

The position will provide professional administrative support to the Office of Federal Activities/NEPA Compliance Division. Involves regular interface with Senior Management and Advisors to provide high-level customer service on a variety of duties.

Duties/Responsibilities:

  • Responsible for clerical tasks, including but not limited to answering phones, sorting and sending mail including emailing official electronic correspondence, maintain all paper and electronic files for department, ordering and organizing office supplies, and reviewing and formatting staff correspondence consistent with EPA Correspondence Manual. Conducts technical editing/grammar and format reviews of all department work products including fact sheets, correspondence, reviewer aids, and technical documents.
  • Manages and consolidates routine weekly and monthly reports, workflow tools, and routine forms – including, but not limited to, weekly reports for division; regular updates from regions on priority reviews; updates to Microsoft Planner workflow tracking, development of weekly Federal register purchase order requests, and staff individual and group training forms for Director review and approval.
  • Organizes and manages all electronic files on department SharePoint site consistent with appropriate EPA records schedules. Will require developing file organization, consistent naming conventions, identifying required minimum information for file folders, coordinate with staff to ensure all necessary information is updated in file folders and convert documents as necessary to pdf for permanent storage.
  • Supports the consolidation and review of NEPA Program monthly metrics including coordinating with regional offices for submittals or corrections. Provides summary to project lead for their review and analysis.
  • Supports team as needed with review of weekly reports and database management. Requires familiarity with database entry programs similar to ACCESS.
  • Support NCD staff work project management functions including developing action plans, gantt charts with incremental schedules, tracking team tasks and assignments, and notifying project lead when actions are falling behind schedule.
  • Organizes and schedules Director and staff meetings requesting virtual, in-person, and hybrid meetings for National Community monthly meetings, other agencies, and other EPA leadership. Required to take meeting minutes and track agenda items for future meetings.
  • Assists and back up Executive Assistant to department Director, as needed and assist with other special projects as directed.

Benefits:

$16.10 per hour, 40 hours per week; Paid holidays, vacation, and sick leave. Program-paid medical insurance and enrollee-paid dental and vision plans available. This position is reviewed annually and may or may not be renewed. EOE
