Office Manager


Cobblestone specializes in development and consulting for clients. We construct distinctively designed communities of exceptional quality, at the core of which is sustainability.


Additionally, we partner and consult with Cities and Counties to establish and execute on special district financing projects that build sustainable infrastructure.


We are seeking an Office Manager to be responsible for the general operation of the office. Duties will involve greeting visitors, answering incoming phone calls, purchasing office supplies, taking inventory, and supervising our office staff to ensure maximum productivity. You will also be required to create presentations and produce management-level reports.


Key Responsibilities


  • Overseeing day-to-day office operations: organizing meetings, managing databases, organizing company events/conferences, correspondences, reporting, budgets, onboarding.
  • Greeting visitors, answering a high-volume of incoming phone calls and delivering world-class service to our customers.
  • Coordinating appointments and meetings and managing the CEO’s and leadership calendars and schedules.
  • Supervising, mentoring, training, and coaching our office staff and delegating assignments to ensure maximum productivity.
  • Coordinating domestic and international travel, including flight, hotel, and car rental reservations.
  • Purchasing office supplies and equipment and maintaining proper stock levels.
  • Producing reports, composing correspondence, and drafting new contracts.
  • Creating presentations and other management-level reports.
  • Work in tandem with Chief of Staff and Human Resources Department to ensure efficiency and continuity.


Physical Demands


  • Position performance will require the occasional physical ability to climb and function in elevation changes to include ladders, scaffolding, etc.
  • Ability to manage and negotiate construction work areas in a safe manner and behavior.
  • Vision abilities specific to the position will include close vision, peripheral vision, depth perception, and the ability to focus.
  • Performing in this role will require the use of hands to finger, handle and feel tools, objects, materials, and controls.
  • Performance requires the ability to frequently sit, talk, hear, stand, climb, balance, stoop kneel, crouch, or crawl.
  • Employee may have to occasionally lift and/or move up to 50 pounds.


Qualifications


  • Bachelor degree or equivalent relevant work experience.
  • 5+ of experience in office administration
  • Office management experience.
  • Strong computer skills and familiarity with Microsoft Office Suite products, including a high degree of proficiency in Microsoft Word, Excel, Outlook, and PowerPoint
  • Strong verbal and written communication skills – must be able to clearly explain and demonstrate concepts/skills to others.
  • Strong work ethic and be able to work both individually and in group settings.
  • Ability to always represent Cobblestone and related entities in a professional manner to ensure company policies and procedures as well as compliance to all applicable laws and regulations.
