Advanced Automation Inc. is an industry leading IT Managed Service Provider, who has experience serving the Southeast for over 25 years. We are a one stop solution for SMB customers, and highly regarded in the Dental Industry. It is our goal to help people by supporting their healthcare providers. We are seeking an insightful and highly motivated office coordinator to join our team in a full-time position. This person will be tasked with maintaining client satisfaction, performing Accounts Payable and Accounts Receivable functions, and complete other administrative tasks as needed.

80% WFH - Remote Type (In office once a week and remote for 4 days)

Primary Responsibilities include, but are not limited to:

  • Answering phones and connecting clients with proper person
  • Logging calls in ConnectWise ticketing system
  • · Backup Dispatcher – assigning tickets to technical staff
  • Accounts Payable – data entry and timely payment to vendors
  • Accounts Receivables - AR statements
  • Client Satisfaction – researching and answering client questions

Auditing client agreements and adjusting pricing

Daily Activities include, but are not limited to:

  • Tracking orders and confirming deliveries with clients
  • Creating monthly agreement invoices and sending out to clients
  • Resolving all client concerns or escalating to the appropriate channels
  • Ordering office supplies
  • Receiving faxes, quotes, and other documentation and forwarding to proper channels
  • Scheduling appointments, meetings, and travel arrangements for team as needed

Requirements

Ideal Candidates for this position will possess:

  • Must be dog-friendly
  • Good basic understanding of modern technical terminology
  • Experience with QuickBooks
  • Experience with ticketing systems
  • Ability to quickly build rapport and trust
  • Excellent interpersonal, communication, persuasion, presentation and writing skills
  • Outstanding problem-solving skills
  • Initiative / Self-Motivation
  • Organizational skills
  • Ability to work individually and in a team environment
  • Ability to multi-task and adapt quickly to change

Job Type: Full-time

Pay: $17.00 - $20.00 per hour

Schedule:

  • 8 hour shift
