Job Type: Full-Time, Salary, Exempt
Schedule: 7:30 AM – 4:30 PM, Monday-Friday
Pay: $42,000/YR; Bonus Eligible up to 5%

Office Coordinator Job Summary: The Office Coordinator will be responsible for managing a team of one by navigating day to day activities including mailroom, copy, hospitality, facilities monitoring, and reception back-up coverage. The coordinator will also handle the set up/breakdown of scheduled meetings, assist with admin projects, and provide support to the Executive Team along with training, development, and management.
Office Coordinator Responsibilities:
·Maintain a positive attitude in busy environments while providing excellent customer service, and greeting guests with warmth and professionalism- candidates demeanor must be energetic, happy, welcoming and first to speak
· Prove flexible when faced with deadlines and challenges
· Lead by example, delegate, and build strong relationships with associates and clients
· Manage and provide direction to on-site team in all aspects of mailroom and office services
· Receive, sort, scan, and deliver all classes of US mail and accountable packages from various carriers such as FedEx, UPS, Amazon, etc.
· Serve as the main point of contact for all activities related to the mail room
· Assist with print work, inventory management, and other basic office services tasks
· Stock supplies as needed
· Respond to requests in a timely manner and extend outstanding customer service to all internal/external customers and clients
· Collect and maintain records of metrics related to volumes and time and motion studies
· Produce client invoicing and maintain records related to supplemental billing in a timely and accurate manner
· Serve as client’s main point of contact, host regular client meetings, and review metrics data related to essential job functions
· Manage the Outlook meeting calendar for all conference rooms and meeting spaces
· Assist with catering coordination for Executive Team meetings
· Assist Executive Admin Team with projects and expense reporting
· Participate and require staff to cross-train in all areas of service with a willingness to embrace and perform continuous training and professional educational programs
· Other duties as requested by clients
Office Coordinator Qualifications and Skills:
· High school diploma or equivalent (GED)
· Proven customer service-related experience
· Experience with Concur
· Proficient computer skills including MS Office 365
· Excellent communication skills
· Ability to effectively work both individually and in a team environment
· Ability to solo lift to 40 pounds
