Job description
The City of Richmond Office of Community Wealth Building is currently seeking qualified friendly faces to fill an Office Assistant position to provide office support services. The selected incumbent will be responsible for basic clerical and administrative support tasks to include receptionist duties, data entry, maintaining filing systems and more.
- Performing administrative and clerical procedures such as word processing using Microsoft Office Suite, DocuSign, Adobe Acrobat and other systems; managing files and records;
- Performing office functions to include data entry, copying, ordering and maintaining office supplies and forms;
- Assisting participants with the resource room;
- Preparing bulk mailings, distributing mail and providing general information to staff, youth and/or the public;
- Other duties as assigned.
KNOWLEDGE, SKILLS, AND ABILITIES:
Considerable knowledge of Microsoft Office Suite, DocuSign and Adobe Acrobat. Knowledge of US Postal regulations and using US Postal software and Business Management software.
Demonstrated computer, data entry and photocopying skills. Excellent customer service skills to include oral and written communication. Skilled in preparing reports on pick-up and deliveries; and participating in team decision-making, staff development, and training.
Demonstrated ability to work independently with little direct supervision; and process, sort, and distribute items based on established codes. Must have the ability to maintain a professional attitude; provide pleasant customer interactions.
MINIMUM TRAINING AND EXPERIENCE:
- High School Diploma or GED;
- One year of general office, mail, or courier experience;
- An equivalent combination of training and experience (as approved by the department) may be used to meet the minimum qualifications of the classification.
LICENSING, CERTIFICATIONS and/or OTHER SPECIAL REQUIREMENTS:
- Valid Commonwealth of Virginia Motor Vehicle Operator's License with a satisfactory driving record.
PREFERRED TRAINING AND EXPERIENCE:
- General Microsoft Office experience to include Word, Excel and Outlook
- Experience working with DocuSign and Adobe Acrobat
