Optivate is a digital marketing agency that specializes in developing 360 retail digital promotions for CPG brands. We help brands bridge the gap between sales and their marketing teams through dynamic digital solutions. We develop and execute the entire digital promotion from design, media execution/optimization, and POS to sweepstakes fulfillment. We represent some of the largest brands in the Alcohol Beverage Industry and also work closely with other large CPG brands outside of Bev-alc.
Our firm is seeking an Office Administrator who is detail oriented and focused on organization. The ideal candidate will be able to keep track of a variety of tasks and complete them in a timely manner and will also be able to communicate effectively with all levels of employees and outside vendors. The Office Administrator will also be responsible for maintaining the office schedule and handling administrative work, including paperwork, information requests, and client letters.

- Familiar with project management a plus
Strong MS Office Skills, including:
- Excel spreadsheet capabilities (Formulas, pivot tables, fundamental analysis)
- PowerPoint presentation development skills in a professional setting (basic layout, content revision, presentation flow, animations/layers)
- Word - Must excel as a writer to assist in writing presentations and proposals, revisions (spelling, grammar, structure), and technical report writing.
Duties & Responsibilities
- Basic Financial management/bookkeeping tasks - Quickbooks Online:
- Invoicing
- Budget tracking
- Credit card reconciliation
- Vendor payments
- Updating office/team expenses
- Trips to bank when needed
- Accounts Receivable
- Oversees general office operations
- Track team birthdays and anniversaries
- Purchase office supplies/gifts when needed
- Provide support to Director of Operations
- Works with the management to update office policies and onboard new hires
- Arrange travel including flights, hotels, and car rentals
- Digital file maintenance, both internal and external docs.
- Google Drive
- Handling a variety of office and personal administrative tasks.
- Willingness to travel as some commuting may be required
- (2) half days a week in office work = roughly 8 hours total/remaining would be WFH/remote (Masonboro Loop Rd., Wilmington NC)
- Other projects and duties may be assigned at any time.
Job Type: Full-time
Pay: $42,000.00 - $50,000.00 per year
