The Medical Office Supervisor leads the clerical team in support of the physician practices at Upstate University Medicine at Township 5. Ensures clerical duties of the office are being completed in a timely and efficient manner. Identifies areas of opportunity for improving in practice efficiency. Ensures high levels of quality, customer experience and patient safety are consistently delivered. Direct report to the facility's Practice Manager.
Duties/Responsibilities:
- Ensure clerical and administrative duties of the office are being completed in a timely manner, assisting staff to meet this goal. Expected to fill in for absent employees as needed;
- Collaborate with practice staff to develop efficiencies and workflows which promote patient throughput and satisfaction;
- Monitor patient satisfaction levels to ensure all patient complaints are handled effectively to attain maximum patient satisfaction;
- Supervise & train clerical staff. Ensure compliance with practice policies and procedures;
- Develop and monitor staff work schedules to maximize patient access;
- Evaluate referral patterns, establish/maintain relationships with outside medical offices to improve patient access and promote practice visibility in the community;
- Develop and maintain reporting dashboards demonstrating clerical staff work efforts;
- Monitor and maintain website new patient leads;
- Attend and participate in practice meetings as directed;
- Manage payor programs related to enrollment, incentives, and quality improvement;
- Establish and maintain a regular meeting schedule with clerical staff;
- Maintain current knowledge of health care issues, standards of practice, and CPT/ICD-10 codes;
- All other duties as assigned.
Bachelor's degree in Healthcare Administration or related field & minimum 2-year medical office experience; or
Associate's degree in Healthcare Administration or related field & minimum 4-years medical office experience.
Minimum 1-year supervisory experience; and experience with electronic medical records.
Epic experience preferred.
M-F 8am - 430pm with potential for evenings and weekends in the future
