POSITION TITLE: Level II, Project Assistant
CLASSIFICATION: Non-Exempt

POSITION OVERVIEW:

ADB is seeking a Level II Project Assistant to provide mid- level administrative support for a wide variety of utility construction projects within our Splicing region project support team. This role is critical to the overall success of our Project Management team. The ideal candidate will have general administrative knowledge, a high level of attention to detail, with a strong work ethic and ALL IN attitude to achieve results.

ROLES AND RESPONSIBILITIES:

  • Provides mid-level administrative support within the Project operations team, including but not limited to,
    tracking permits, data entry, tracking material, etc.
  • Ability to perform all Level 1 PA duties including requesting job numbers, reviewing payroll records, etc.
  • Provides mid-level support to Project Coordinators on Pre and Post project billing processes
  • Assists with collecting, tracking, analyzing, and reporting on various items within multiple customersystems (Acas, Prism, Orca, etc.) as requested
  • Proficient understanding of AP system processes; can analyze invoices for approval
  • Professionalism; ability to communicate directly with customers, vendors, and subcontractors
  • Acts as liaison for homeowners on any claims and/or complaints
  • Ability to create files within Google Earth and other various Geospatial software
  • Proficient ability to track and submit permits to local municipalities
  • Mid-level ability to create tasks within Penguin and determine project details and estimated footages
  • Performs general data entry of project progress and billing into project tracking Database
  • Performs regular inventory and material tracking and generates required reports
  • Supports multiple levels of leadership including Direct Supervisor, Project Managers, Executive teams, etc. both in person and remotely utilizing various technology
  • Follows through with tasks and processes until completion; ensures processes are complete with a high
    level of follow through and follow up
  • Other duties as requested by supervisor

WORK ENVIRONMENT:

  • This position operates out of a temperature-controlled office environment
  • This role routinely uses standard office equipment such as laptop computers, copy/fax, and smartphones

EXPERIENCE AND EDUCATION:

  • 1-3+ years of administrative, data tracking, or project support experience required
  • Previous experience working in a construction environment preferred
  • High School diploma or equivalent required
