PURPOSE OF POSITION
Provides administrative assistance responsibilities to include front office coordination, processing employee data and recruiting/hiring. To be successful in this role, you should have solid organizational skills and be familiar with HR functions. Ultimately, you will make sure all administrative and HR operations run smoothly. The ideal candidate will have strong interpersonal skills, work well as part of a team, be a self-starter and have a passion for their work.
PRINCIPAL DUTIES
- Assists with recruitment, interviewing, hiring and orientation process, including completion of all associated forms in conformance with employment laws in both English and Spanish
- Conduct employee meetings such as benefits enrollment and safety meetings in both English and Spanish
- Manage and updates databases with different information such as new hires, terminations, LOA, documentation, attendance.
- Responds to employee inquiries, including, but not limited to: benefits, company policies/procedures, time and attendance.
- Maintains personnel files in accordance with federal and state policies.
- Maintains training records and training schedules.
- Assists with coordinating employee events (luncheons, trainings, etc.).
- Issues badges, safety glasses, etc.
- Greet and assist visitors; serves as receptionist.
- Performs other duties as assigned by management.
DECISIONS AND RESPONSIBILITIES
- Must maintain a high level of integrity; ability to keep company and employee information confidential is necessary.
- Requires timely submission of reports and/or forms in conformance with applicable employment laws and company policy.
REQUIRED KNOWLEDGE, SKILLS, AND ABILITIES
- High school diploma required. Associates or Bachelor’s degree in a related field preferred.
- Must be bi-lingual Spanish
- 2 years of administrative experience required; prior experience in a manufacturing environment and human resources preferred.
- Strong written and verbal communication skills required; ability to efficiently and tactfully communicate with all levels of employees required.
- Strong computer skills; proficiency with Microsoft Office, specifically excel.
- Strong organizational skills required; ability to create and maintain reports and files required.
PHYSICAL REQUIREMENTS/WORKING CONDITIONS
- Must be able to travel throughout the facility to obtain information needed to perform job functions.
- Must be able to sit at a desk for extended periods of time.
- Must be able to operate a computer and keyboard with accuracy and efficiency.
