HUMAN RESOURCES ADMINISTRATIVE ASSISTANT

Well established construction company in growth phase seeking a highly experienced candidate to assist with Human Resources and administrative functions. Candidates must have a minimum of five (5) years’ experience in the Human Resources field with excellent organization and communication skills to interact with customers and senior level management.

ESEENTIAL HUMAN RESOURCES DUTIES AND RESPONSIBILITIES:

  • Work closely with the Accounting and Human Resources Manager to ensure smooth operation of all human resources, payroll, and business office functions
  • Maintain all confidential personnel files
  • Exercise discretion and maintains confidentiality of all files, records, or business transactions
  • Create, review, and post position descriptions on various employment websites
  • Receive, review, and forward qualified applicant data to appropriate supervisory personnel
  • Conduct pre-screen interviews of candidates
  • Conduct reference checks of pre-screened candidates
  • Prepare and submit offer of employment documentation to candidate/s
  • Onboard applicants in a timely and efficient manner to include background checks, drug screens, and any state specific pre-employment check requirements, etc.
  • Enter newly onboarded candidates into ADP Workforce Now HRIS system in a timely, accurate manner
  • Process new employee documentation and accurately enter new employee direct deposit and tax withholding details into ADP Workforce Now payroll system
  • Complete I-9 and E-verification for all employees
  • Distribute and communicate Benefits packets to new hires and eligible employees in a timely manner
  • Conduct annual open enrollment of Benefits for all employees
  • Enroll and/or make changes to employee medical, dental, vision, and 401k benefits plans as necessary upon onboarding, life-changing events, and/or during annual open enrollment periods
  • Maintain and schedule employee probationary and annual evaluations
  • Process Personnel Action Forms to reflect change in title, change in job status, change in pay, etc.
  • Complete Worker’s Compensation reports and files with appropriate agencies in a timely manner
  • Completes OSHA (job-related injury) Log per federal regulations
  • Offboard applicants in a timely and efficient manner to include terminating employee file/s within the ADP Workforce Now HRIS system, submitting separation and employee release agreements to separated employees, submitting COBRA insurance information to separated employees, etc.
  • Tracks leave usage and administers leave management, collaborating with the Accounting and Human Resources Manager to streamline processes
  • Collects, maintains, and verifies weekly timesheets and expense reports for completeness and accuracy prior to submitting to Accounting and Human Resources Manager for weekly payroll runs
  • Cross-trains and acts as a backup for weekly payroll processing duties

ESSENTIAL ADMINISTRATIVE AND DOCUMENT CONTROL DUTIES AND RESPONSIBILITIES:

  • Act as a liaison to the Accounting and Human Resources Manager to streamline processes regarding employee paperwork, payroll, workers compensation, and benefits-related issues
  • Maintain and review certified payroll/s from subcontractors for completeness and accuracy
  • Create and submit Certificate of Insurance requests as necessary
  • Create and submit Bid Bond and Pay & Performance Bond requests as necessary
  • Maintain past performance and update new contracts awarded to the company
  • Marketing duties to include maintaining and updating project sheets of completed projects
  • Generates administrative reports and correspondence or other general office duties as needed

EDUCATION AND/OR EXPERIENCE:

  • Bachelor’s degree in Human Resources and a minimum of five (5) years relevant experience, or; minimum of ten (10) years relevant experience with an Associate degree or HS diploma
  • SHRM or PHR certification/s preferred
  • Must have experience with ADP Workforce Now HRIS/timekeeping system
  • Demonstrated knowledge of administrative assistant principles
  • Demonstrated knowledge of general accounting principles and bookkeeping
  • Experience with government contracting preferred, but not required
  • Excellent communication skills with the ability to interact effortlessly with individuals of varied educational and/or socio-economic backgrounds
  • Ability to work in a fast-paced environment and produce effectively under pressure

This is a full-time position with health/dental/vision/401k/PTO, etc. Office location is in Summerdale – Baldwin County, AL. In-office training required. After a 90-day probationary period is completed, this position has the potential to be converted to a hybrid position, with in-office/remote work.

Pay: $42,000.00 - $60,000.00 per year
