HLP Integration Florida provides a variety of information management services to federal, state, and private customers. Typical activities range from reviewing and organizing hardcopy (physical) personnel files, to document scanning, to quality control of completed digital files. Our main effort focuses on supporting United States Military Veterans by converting their paper files to digital files. By having digital files then available, Veterans and their families are more quickly able to apply for and receive much-deserved and much-needed medical disability and other benefits. This General Clerk I position follows detailed procedures in completing several repetitive clerical steps performed in a slightly varied sequence dependent on source material. It could include but is not limited to coding and filing documents in an extensive alphabetical file, scanning, and image review. Operating essential office equipment, photocopier, facsimile, mailing machines, and computer programs.Your daily functions will vary by department needs. This is a fast-track position from our entry-level Document Preparation Clerk. Candidates considered for this role have to meet ALL KPI's within a specific time-frame.
Responsibilities:
-Review documents and identify errors.
-Filing pre-coded documents in a chronological file, or operating office equipment, (e.g., mimeograph, photocopy, or mailing machine).
-Follow policies and procedures and report needed changes to management.
-Understanding HIPAA guidelines in accordance with customer confidentiality is at the forefront.
-Contributes to team effort by accomplishing and completing deadlines.
-File sorting and paper inserts to specific files.
-Bundling files correctly in a specific order to be uploaded into the system.
-Remove staples and paperclips from paperwork and prep for scanning.
-Additional duties may include data entry and scanning/copying.
-De-prep all documents for return to sender.
-Processing shipments for intake
-Audit documents for peer review under supervision of shift manager or Training Director
-Train new employees on current processes
- Participate in regular trainings and obtain certifications as directed by government contractors
Shifts Available:
Monday - Friday 1st shift 7:00am-3:30pm
We ask that each candidate be open to training for 2-3 days between the hours of 8AM-4:30PM for training.
Requirements:
-High school diploma or GED equivalent
-Data entry experience or related office experience required.
-Adaptable to new computer systems and use of multiple screens
-Understanding of HIPAA guidelines
-Electronic file processing experience preferred
-Organization skills
-Attention to detail (documents must be entered in a specific order)
-Ability to work in a fast-paced environment where deadlines can change depending on client-specific needs.
-Must show proficiency in all areas in a specific time frame according to skill assessment reviews
-Meet and exceed KPI and expectations
-Ability to work in a fast-paced role independently
PHYSICAL/MENTAL DEMANDS AND WORKING CONDITIONS:
This position requires the ability to perform the essential duties and responsibilities in the following environment:
- The work schedule consists of a minimum of 40 hours per week, which may include on-call status, evenings, and/or weekends.
- Ability to lift 10 - 20 pounds
- No restrictions on bending, lifting, or standing for long periods of time.
- Bilingual English/Spanish is a plus
