Overview:
The front desk coordinator/receptionist is responsible for greeting visitors and vendors while delivering exceptional customer service assistance. Additionally, this position performs routine clerical, secretarial and administrative work and provides support with various tasks including travel arrangements for Associates, Associate appreciation activities, and preparation for various Company meetings.
Qualifications:
    EXPERIENCE AND EDUCATION
    • High School Diploma or equivalent combination of education and work experience.
    • Minimum of 18 months of work experience – office experience a plus.
    • Bilingual, English-Spanish a plus
    • Proven experience in use of Microsoft applications including Word, Excel, and Outlook.
    OTHER QUALIFICATIONS
    • Ability to contribute positively as part of a team, assisting with various tasks as required.
    • Strong customer service skills—pleasant attitude toward fulfilling requests
    • Very organized, able to juggle multiple tasks
    • Excellent phone skills
Essential Functions:

  • Greet by telephone or in-person clients, vendors, and visitors with a positive, helpful attitude.
  • Maintain security of building by only allowing entrance to offices/building to associates or scheduled visitors and properly maintain visitor log.
  • Direct calls to appropriate party promptly, and ensure visitors are escorted to the appropriate party.
  • Coordinate/assist with scheduling and with preparation for various meetings; such as, Associate appreciation meetings, board of directors meetings, and department meetings.
  • Develop and maintain office forms and procedures, and assist with administrative tasks.
  • Prepare and maintain common office areas; such as, copier and office supplies areas; as well as, meeting, training, break and lunch rooms.
  • Assist with making of travel plans and communicating as needed with travelers regarding updating of travel arrangements.
  • Place office supply orders as needed.
  • Prepare and coordinate office/work spaces for new Associates.
  • Coordinate needed repairs to office equipment with vendors and/or schedule routine maintenance with vendors.
  • Receive incoming mail and distribute appropriately.
  • Coordinate out-going mail and assist with mailing projects as needed.
  • Operate office machines as required.
  • Duplicate and distribute materials.
  • Compose and edit correspondence, reports, memoranda and other material.
  • Assist visitors with the use of office facilities.
  • Punctual for work for attending of Front Desk area.
