We are currently in the process of hiring an office administrator to work in our Raleigh (BYoung Performance), Apex (BYoung Physical Therapy), and Cary (The Running PTs) locations.

This is a great opportunity for someone considering physical therapy school or another medical field.

Our office is a fast paced environment and the position requires advanced communication, leadership, and organizational skills. Additionally, applicants must demonstrate an ability to multitask and have exceptional customer service skills.

We are looking for a reliable part time and full time Office Administrator. They will undertake administrative tasks, ensuring the rest of the staff has adequate support to work efficiently. The tasks of the office administrator will include (but are not limited to) scheduling patients, answering phones, taking payments, insurance verification, and time will likely be split between our three locations. The ideal candidate will be competent in prioritizing and working with little supervision. They will be self-motivated and trustworthy. The office administrator ensures smooth running of our company’s offices and contributes in driving sustainable growth.

Responsibilities

  • Answer phones, schedule patients, take payments, insurance verification, reconciliation
  • Coordinate office activities and operations to secure efficiency and compliance to company policies
  • Communicate effectively and work well with other administrative staff and divide responsibilities to ensure performance
  • Manage agendas/travel arrangements/appointments etc. for the upper management
  • Manage phone calls and correspondence (e-mail, letters, packages etc.)
  • Support budgeting and bookkeeping procedures
  • Create and update records and databases with personnel, financial and other data
  • Track stocks of office supplies and place orders when necessary
  • Submit timely reports and prepare presentations/proposals as assigned
  • Assist colleagues whenever necessary

Skills

  • Outstanding communication and interpersonal abilities
  • Excellent organizational and leadership skills
  • Familiarity with medical office management procedures and basic insurance principles
  • Excellent knowledge of MS Office and medical scheduling software
  • Proven experience as an office administrator, office assistant or relevant role is preferred
  • High school diploma; BSc/BA in office administration or relevant field is preferred
