Mighty Dog Roofing of Middlesex County is looking for a virtual executive assistant to join our team. Mighty Dog Roofing is growing and looking for a team player who can bring their Mighty attitude and effort with them every day.

Work directly with the owner/president to support all aspect of company operations, including

Marketing Support Activities

  • Follow-up with key B2B contacts
  • Virtually interface with customers regarding company FAQs
  • Make lists of ideal referral partners for targeted zip codes, such as other trades
  • Tracking for marketing campaigns and follow-up with points of contact by phone, text, or email

Sales Support Activities

  • Make lists of tasks for sales team follow-ups based on where customers are in the timelineSet reminders for sales staff using the company CRM based on customer progression in the pipeline and latest procedures for customer handling - for example, remind staff to call their customer for color choice, send them a handwritten note, or check in to get their contract signed/invoice paid.
  • Inside sales activities including:
  • Preparing Sales Documentation: using online company databases, collating information into an aggregated customer profile to be used by sales staff

Following up with customers and leads (potential customers) by phone, text, and email
Scheduling appointments and management of company and staff appointment calendars

  • Post-installation follow-up with customers for reviews and/or referral requests

Operations Support Activities

  • Organization and management of President's email and calendar
  • Follow SOPs to coordinate the successful scheduling and execution for installations, including:
  • scheduling labor orders
  • Obtain up to date certificate of insurance (COI) documents from subcontractor crews on a regular basis and maintain in company database
  • coordination of permitting,
  • placing materials orders and confirming delivery dates
  • ordering dumpsters and coordinating their drop-off and pick-up
  • Filing warranty information
  • Input company KPI's in online platform in preparation for weekly leadership meeting

Finance Support Activities
Accounts payable management: Keep company president aware of upcoming bills to be paid

  • Organize incoming receipts and invoices
  • Accounts receivable management: Send invoices to customers
  • Record paid invoices in CRM

Job Types: Full-time, Part-time

Pay: $15.00 - $20.00 per hour
