St. Joseph of the Pines is currently seeking a full-time Executive Assistant for our Administrative team. Reporting to the President, this position performs administrative support duties requiring extensive knowledge of the organization, policies and procedures. This position requires the ability and background to represent the administrative office in a highly professional manner. The Executive Assistant interacts with Board members, the senior management team, residents, vendors and other contacts of St. Joseph of the Pines.
Duties include, but are not limited to:
- Provides a variety of routine and complex administrative support duties for the President and other members of the senior management team.
- Types a variety of correspondence and documents of a confidential and sensitive nature.
- Screens and places phone calls, arranges meetings, and analyzes reports and correspondence as assigned.
- Maintains the monthly calendar for the President and assures that complete information is available for all matters.
- Takes minutes and transcribes dictation at various Board and sub-committee meetings. Records minutes and prepares reports for inclusion in the Board packet.
- Independently prepares recurring reports and correspondence for signature.
- Establishes and maintains a variety of electronic and manual files and records.
- Makes arrangements for meetings, conferences, and corporate travel; secures reservations, meeting location and coordinates dining and audiovisual needs.
- Frequently interacts with the corporate executives; schedules conference calls and in general keeps the executives aware of communication with the corporate office.
- Assembles all material for inclusion into the bi-monthly Board packet; collates and organizes various directors’ reports, organizes and gathers all material; assists in developing Board motions and binds packet in preparation for mailing them to the Board members. Performs similar work for the preparation of the Executive Committee packet.
- Performs routine copying, faxing and typing duties.
- Performs other duties as assigned.
- Administrative Office Functions
- Assists visitors in the administrative office as needed, demonstrating hospitality and exceptional customer service.
- It is the responsibility of the Executive Assistant to ensure that the Administrative Office workroom is kept organized and that the appropriate items are stocked in the room.
- Maintains the appearance of administrative office conference room.
- Communicates building related needs to appropriate departments to resolve, utilizing electronic systems of communication (WorksHub, Email, Workday, etc.) and follows up until the need is resolved.
Education and Experience:
- Associate’s degree or higher required
- Three years of experience performing complex and responsible clerical duties in support of a high level (Director, COO or CEO) organizational executive. Must have background in dealing with all levels of management.
- Excellent written and oral communication skills; ability to multi-task and work independently
- Must be proficient in Microsoft Word, PowerPoint, Publisher and Excel; 50-60 WPM keyboarding speed required
- Requires the ability and background to represent the administrative office in a highly professional manner.
