Job Description Summary
The Los Angeles Times is looking for an executive assistant to work with editorial departments. The ideal candidate must be organized, detail-oriented, possess excellent judgment, strong prioritization skills and the ability to meet tight deadlines while juggling critical requests.
Job Description
Responsibilities:
- Manage individual calendars, including scheduling meetings with both the internal team and outside guests
- Arrange meeting and conference details, including sending invites and meeting notices, scheduling appropriate facilities, ordering refreshments, preparing presentation materials and cleaning up after meetings
- Assist on-site visitors when back in the newsroom; serve as the liaison with the security team when facilitating visits by outside guests
- Screen calls from the public; open and delegate department mail
- Assist with processing and tracking expense reports
- Coordinate travel plans, including accommodation arrangements, itineraries and bookings
- Manage freelance contracts, invoice coding and tracking payments in coordination with the assignment editors and finance
- Serve as a backup for the administrative director
- Additional duties as assigned
Qualifications:
- A minimum of five years’ experience in high-level administrative support required
- High discretion when handling confidential information
- Outstanding communication skills with colleagues, members of the public and newsmakers
- High emotional intelligence, situational awareness and good judgment
- A team player who shows initiative in responding to new needs
- Ability to multitask, set priorities and be a problem solver
- Proficient computer skills and expert ability in using MS Office/G Suite and most office communication applications
- Superior skills in written English, spelling and punctuation
- Experience with expense report management systems
- Experience coordinating travel logistics

Times staff is currently working remotely, but when we return to the newsroom, the position will be based in El Segundo, Calif. It will report to the Administrative Director.
