Job description
Provide administrative assistance to the Owner while prioritizing emails, meetings, travel arrangements and more. The ideal candidate must be friendly while maintaining a professional demeanor at all times.
Responsibilities:
- Provide personalized and timely support to the Owner, such as managing their calendar, making personal appointments, prioritizing the most sensitive matters, organizing meetings, sending reminders, writing and editing emails and preparing communications on the Owner’s behalf
- Provide backup administrative support to other assistants as necessary
- Ensure that executive leadership is informed of priorities, deadlines and challenges
- Maintain comprehensive knowledge of MinistrySafe’s products and services
- Implement new software as needed to improve efficiency
- Greet visitors and prepare for in person meetings
- Update processes to increase efficiency and troubleshoot issues as they arise
- Anticipate and address the needs of the owner
- Other duties as required
Requirements:
- High degree of professionalism
- Ability to manage multiple assignments, set priorities and adapt to rapidly changing conditions
- Excellent calendar management skills and a demonstrated history of complex scheduling with consistent follow-through
- Results-driven with excellent organizational skills
- Excellent communicator and listener who effectively conveys information verbally and in writing
- Empowered to resolve and problem-solve issues on their own
- Handle pressure well while maintaining confidentiality in all aspects of team and client information
- Experience in Microsoft Office applications including Word, PowerPoint, Excel, and Outlook
- Experience in Google Suite applications including Calendar and Drive
- Experience using Macintosh operating systems
- Experience using task management programs such as Monday.com is a plus
Education/Skills:
- High School graduate required. College graduate preferred.
- Required: 2+ years of experience supporting administrative functions at the executive level
Compensation depends on experience.
Position Type / Expected Hours of Work
This is a full time (35-40 hours per week) IN OFFICE position. Days of work are Monday through Thursday with hours of operation from 8:30-5 and Fridays from 8:30-3
