Provide executive support to dynamic CEO while performing a variety of tasks that include, but are not limited to:

Mail: retrieve mail at post office; Open, review and disseminate as appropriate (weekly).

Manage Expenses and Accounts: Write checks and log details in the check register. Order office supplies. Log receipts into Quickbooks online and file accordingly. Update balances and account details in the Master Tracking Spreadsheet (1-2x/week).

Schedule Coordination: Maintain appointment schedules and calendar- business and personal. Plan and schedule meetings, appointments, conferences, and coordinate travel- business and personal (daily, as needed).

File and Contact Organization: create and maintain client binders/filing of paper documents. Maintain client files/documents on OneDrive. Maintain contact database and send out seasonal communiques (daily).

Email Management: read, route, and respond to correspondence. Provide a summary of priority emails (daily).

CEO Support: Initiate calls and emails on CEO’s behalf. Check voicemail messages and respond accordingly (daily). Conduct research on assorted topics and projects as requested by CEO (by request). Draft letters and documents Provide client support: answer questions, provide documentation, etc.

Other administrative responsibilities as needed

Requirements:

Must be proactive, self-directed, and be able to multitask. Proficient in Microsoft Suite of tools and Quickbooks is required, and ability to learn additional applications is a must. Being technically savvy is a must.

The ideal candidate will have experience working in and maintaining a corporate work environment and communications, the primary business associates are bankers, venture capitalists, and executives from various businesses and academic institutions.

This position requires working out of a home office with an "old school" CEO who loves paper and sometimes needs some technical support. The household is lively- with two teenagers and a dog- the dog is incredibly friendly and may require the Assistant to feed, water, and pet her.

Hours: 15-20 hours/week, hours negotiable
