As an Executive Administrative Assistant, you will perform diverse administrative functions for a senior manager and their group. In this role, you will need to demonstrate an ownership approach to all tasks, a project mindset, initiative and confidence to complete assignments with limited supervision, a proactive approach to problem-solving, and the ability to effectively multitask and prioritize in a fast-paced work environment. You will also rely on excellent communication skills and represent your group with a high degree of professionalism. Your responsibilities will include the coordination of event logistics, calendar management, high volume of travel and expenses, and processing a large volume of emails.

This is an onsite position. Your hours will be 8:00am - 5:00pm, with the flexibility to work additional hours to complete your work and meet business needs.

Responsibilities:
  • Manage day to day activities without prompting, and advise in advance of issues or delays
  • Coordinate event and meeting logistics. Keep track of moving parts. Is a savvy user of audio and video conferencing tools.
  • Process a high volume of expenses in a timely manner, with strong attention to detail and in compliance with CIB policies
  • Arrange and monitor multifaceted domestic and international travel, and create detail travel itineraries.
  • Assist with the onboarding of new team members
  • Assist with overflow, special projects, and assistant back-up coverage
  • Is an integral member of the group, understand their goals, priorities and expectations
  • Work collaboratively with the administrative assistants team to support their respective businesses

Qualifications:
  • A minimum of two years' experience as an administrative assistant
  • High degree of motivation, initiative, sense of urgency and professional demeanor
  • Ability to work well under pressure
  • Excellent written and verbal communication skills
  • Ownership approach to all tasks; initiative and confidence to complete projects with limited supervision
  • Exercise independent judgment in a variety of situations
  • Strong attention to detail
  • Motivated by a collaborative environment and willing to go the extra mile
  • Partner with the assistants team to ensure continuity of coverage for their respective groups

Technical Skills:
  • Proficiency with Microsoft Office Suite
  • Ability to learn policies, procedures and processes quickly
  • Savvy with Internet/Intranet usage
  • Experience with Concur Travel & Expense preferred
