Job description
Provide clerical and accounting support in employee benefits and payroll areas.
Qualifications:
Education/Certification:
High School diploma or equivalent
Minimum Experience:
Two years bookkeeping experience
Special Knowledge and Skills:
Ability to multitask
Proficient in Microsoft Office w/ a high level of skill in Excel Preferred
Bilingual preferred
Major Responsibilities and Duties:
Employee Benefits/Risk Management
- Assist with the input and maintenance of information in employee database.
- Track new hires by making multiple phone calls and sending e-mails to ensure employees complete benefits enrollment.
- Perform routine bookkeeping tasks, including simple arithmetic operations, for the department.
- Verify benefits eligibility data from all carriers for accuracy.
- Process employee benefits enrollment and change forms within required time limits.
- Assist with coordination of annual open enrollment process for existing employees.
- Maintain statistical data relative to premiums and costs.
- Maintain all physical and computerized records and assist with the required data entry.
- Prepare and verify the calculation of monthly premium statements from all carriers.
- Prepare new employee packets.
- Make and schedule appointments for the Coordinator of Employee Benefits.
- Assist with scheduling and set up of benefits meetings with staff.
- Assist with coordination of employee benefits vendor fairs.
- Assist with coordination of employee wellness fairs.
- Answer and respond to incoming calls, take reliable messages.
- Receive, sort, and distribute mail and other documents.
- Demonstrate initiative to develop needed skills applicable to performance of assigned duties.
- Maintain confidentiality of information.
- Complete all required data collection for ACA.
- Set up and modify all employee payroll deductions as needed.
- Complete all monthly, quarterly and annual reporting for ACA.
- Maintain accurate records for ACA
- Demonstrate initiative to develop needed skills applicable to performance of assigned duties.
- Observe all professional and ethical standards of conduct in performance of duties.
- Keep records retention files updated for Benefits and Accounting.
- Keep website updated as needed.
- Perform other duties as assigned in an accurate and timely manner.
Professional Growth & Development
- Attend workshops/seminars that are made available for staff development.
- Maintain technical training on new software.
Working Conditions:
- Repetitive hand motions; prolonged use of computer.
- Work with frequent interruptions.
- Frequent walking, standing, stooping, bending, and reaching.
- Occasional lifting and moving of moderate to heavy objects.
- Must be able to maintain emotional control under stress.
- Some extended work hours is occasionally required.
