POSITION SUMMARY
The Doctoral Programs Coordinator works with students, doctoral faculty, and the doctoral program leads and is the main contact for any and all routine doctoral issues. This position requires attention to detail, logical thinking, discretion, strong people skills, and a familiarity with educational systems, procedures, and cycles. The Doctoral Programs Coordinator oversees compliance with policies and procedures, qualifying/comprehensive exams, scheduling courses, and monitoring of student progress/paperwork. This position must work closely with admissions, faculty, program leads, functional units, and doctoral students to ensure smooth processing. The program leads will involve the Doctoral Programs Coordinator in planning and evaluating student processes that will efficiently serve students. This position will monitor student academic progress, completion of milestone and degree requirements, and proposal/dissertation processes. The Doctoral Programs Coordinator position will provide support to program leads and students as needed.
ESSENTIAL DUTIES AND RESPONSIBILITIES
1. Develops and maintains detailed knowledge of the university's academic policies, curriculum, and general university requirements, and works closely with the registrar, program leads, faculty, and other staff members of Records and Registration and Harrisburg University.
2. Assists students with concerns about procedures, timeliness, and other processing-related matters relating to the doctoral programs.
3. Manages requirements and paperwork for committee composition, proposal defense, oral comprehensive and dissertation defense.
4. Oversees completion of milestone paperwork and required forms.
5. Communicates to students and faculty regarding procedural and policies.
6. Does student registrations, change of programs, grades, grade changes, withdrawals, verifications, and degree audits.
7. Advises and supports students through relevant program milestones (e.g., exams, proposal, final defense, etc.).
8. Schedules and tracks progress of selected doctoral courses and milestone, including dissertation/project defenses, comprehensive exams, and committee meetings.
9. Researches and recommends appropriate solutions to doctoral student and system problems.
10. Creates and maintains the standard operating procedures for processes, enrollment, program checklists, and database updating.
11. Develops calendars and timelines for recurring communication to students about enrollment, relevant deadlines, and milestone accomplishments.

REQUIRED SKILLS/ABILITIES*
1. General understanding of federal, state, and local regulations as they apply to student records (i.e., FERPA, HIPAA, PDE, etc.) as well as best practices related to academic policies and procedures
2. Strong work ethic and high level of energy, flexibility, initiative and creativity
3. Organizational, analytical, and critical thinking skills and the ability to manage multiple projects concurrently with frequent interruptions
4. Excellent interpersonal and communication skills and demonstrated ability to develop effective working relationships within a fast-paced, multicultural environment
5. Proficiency in Windows and Microsoft Office computer systems, knowledge of computer databases and receptive to the use of new technology; knowledge of the Jenzabar EX student information system is a plus
EDUCATION AND/OR EXPERIENCE
1. Bachelor's degree or equivalent work experience (Master's degree preferred)
2. A minimum of three years of higher education experience.
