POSITION OVERVIEW
This position is located in the Sheriff’s Department at the Detention Center and is the main contact for public information at and about the jail, assists the public in person and on the phone, coordinates visitors, takes DNA samples on non-incarcerated convicted felons when requested and conducts fingerprinting for the public, test participants in the 24x7 sobriety program using a Portable Breath Test (PBT) and performs a variety of clerical duties in support of the Detention Center. This position reports to the Detention Center Program Director and does not directly supervise other County personnel. This is a full-time position, the hours are Monday- Friday 8:00 am - 5:00 pm with a one hour lunch break.
FRONT LOBBY FUNCTIONS AND OFFICE OPERATIONS
- Greets, manages and coordinates the public and visitors in the lobby (family members, attorneys, volunteers, etc.) and assists them with the appropriate purpose of their visit.
- Answers the main phone lines, provides assistance to the caller, responds to questions and directs/transfers all phone calls to the appropriate staff member.
- Uses the Jail Management Software to coordinate, schedule and record inmate visitors and mail, support users and answer questions.
- Types various reports, conducts special projects and keeps all forms and pamphlets up to date.
- Performs data entry, record keeping and schedules the Sheriff County Work Program for inmates.
- Conducts routine office duties including copying, faxing, filing and emailing of various documents.
- Sorts and distributes incoming/outgoing inmate and business mail.
- Updates current event scrapbook from newspaper articles.
FRONT LOBBY PROCEDURES
- Conducts DNA testing on non-incarcerated convicted felons when requested and on occasion on inmates when sentenced to prison. Once the DNA testing is completed, sends the samples to the State Crime Lab for processing. Performs all data entry and record keeping on the DNA testing.
- Conducts Portable Breath Test (PBT) testing on participants of the 24/7 Program and performs all data entry and record keeping for the 24/7 Program.
- Conducts fingerprinting on the public and all new Detention Center employees. Performs data entry and record keeping on fingerprinting for all offenders and citizens.
QUALIFICATIONS:
This position requires knowledge of general record keeping procedures, business English, composition, spelling and grammar; office operations and equipment, and must be extremely knowledgeable with using business and office software (Windows) and have the ability to learn new software systems (JMS). The position requires the ability to communicate effectively both verbally and in writing and be able to type accurately. This position also requires interpersonal skills and the knowledge and skills of multi-line phones systems, two-way radio systems, safety and security of a secure facility (policies and procedures), an understanding/knowledge of court paperwork; the ability to work with a diverse population and maintain a professional and positive image of the Sheriff’s Office.
EDUCATION & EXPERIENCE
The required knowledge, skills, and abilities are typically acquired through a combination of education and experience equivalent to graduation from high school and one (1) to two (2) years related work experience.
