POSITION SUMMARY: Under general supervision from the Clinic Site Manager, the Dental Reception and Records Coordinator will provide assistance to the Clinic Site Manager in managing and/or performing day-to-day activities at assigned site to include: Staffing assignments and schedules; initial staff complaints/issues; performance evaluations on subordinates; front office patient care services to ensure delivery of quality patient care This position must exemplify the core values and mission of the organization, always exercising the utmost discretion, diplomacy and tact in both internal and external customer service.
SPECIFIC RESPONSIBILITIES:
- Ensures effective staff utilization to meet staffing and workload requirements and supports the delivery of quality patient care and services.
- Consults with the Clinic Site Manager to develop staffing plans; coordinates, directs, and provides patient care orientation and ongoing education of new staff.
- Manages quality improvement initiatives for areas of responsibility.
- Participates in continuing education to improve skills and abilities and stay abreast of current technologies/practices.
- Is fluent in the Electronic Health Record (EHR) and Dentrix Software in use at NVIH or a system similar in nature.
- Exhibits a high degree of courtesy, tact, and poise when interacting with patients, families, and other healthcare professionals.
- Ensures customers service by training on a regular basis staff members who have interactions with patients.
- Stays current with the eligibility requirements and alternate resources for new and established patients; provides up-to-date training for staff on eligibility requirements and alternate resources.
- Ensure compliance with HIPAA, federal, state, and local laws and regulations supporting patient confidentiality and risk management processes.
- Performs duties related to the Dental Reception and Records functions as part of the daily responsibilities; coordinates this area of responsibility with supervisor to ensure proper coverage of duty assignment.
- Performs other duties as may be required within the Dental Patient Care Support Services area.
Experience and Skills:
- High School Diploma or equivalent, General Education Diploma (GED) required; Education in Health Information Management desired.
- Previous supervision and experience in health care management preferred; a minimum of three (3) years of related front office health care experience required.
- Demonstrated proficiency in supervising and motivating subordinates.

- Excellent written and oral communication skills, strong organizational problem-solving and analytical skills.
- Versatility, flexibility, and a willingness to work within constantly changing priorities with enthusiasm as an innovative team player.
- Acute attention to detail.
- Working knowledge of dental terminology sufficient to communicate appropriately with patients, healthcare providers and insurance company representatives regarding appointments, services and procedures.
- Working knowledge of Health Information Management policies, procedures and protocols.
- Basic knowledge of healthcare insurance systems including Medi-Cal, Private Insurance, and Fee-for-Service sufficient to appoint patients, inform patient of financial responsibility and explain provision and requirement to patient.
- Intermediate to advanced phone skills; able to effectively relate via the telephone and in-person to serve the needs of clinic patients/clients/visitors in a manner that is efficient and productive.
- Computer skills that provide the ability to efficiently use the computer systems for scheduling, updating information, and word processing documents.
- Working knowledge of practices and protocols related to reception responsibilities.
- Ability to calculate financial fees and discounts.
- Current CPR certification or able to obtain CPR certification within 60 days of employment.
