The Conference Coordinator’s primary responsibility will be to plan and oversee all the details involved in catered functions and social events. Additional responsibilities include the planning and coordinating of group related activities defined as Day Meeting Packages and/or Special Packages up to 100 people.

What you will have an opportunity to do:

Facilities & Operations:

  • Setting and maintaining meeting room standards in the venue, focusing particularly on presentation and attention to detail.
  • To ensure that security procedures are adhered to, particularly in respect to the closing up of the venue each day.
  • To ensure that all meeting rooms are serviced and tidied at break-times including lunch times.
  • Building up a rapport with all event planners and gain a clear understating of their requirements during their event and for future events.
  • To have a good level of AV/IT knowledge in order to meet client expectations and be able to trouble shoot where necessary
  • Support the Conference Services Manager with monitoring and coordinating planned maintenance activities.
  • To adhere to the deep cleaning schedule is in place and quality checks are carried out.
  • Performing routine housekeeping duties including gathering removing trash, and cleaning mopping the floor.
  • Happy to jump into the dish pit if needed.
  • To participate in monthly health and safety meetings.
  • To support the Conference Service Manager in ensuring all statutory procedures are carried out and documentation is kept up to date.
  • To undertake any additional tasks that senior management deem appropriate.

Customer Service / Communication:

  • To support the Events Manager in ensuring that meeting rooms are set up as required and to a high standard for all events taking place in the venue.
  • To ensure effective communication between all departments in respect of client services.
  • To participate in the daily and weekly rota meetings.
  • To give an introduction of the building to all trainers and direct/escort them to their rooms as part of the venue meet and greet.
