Job description
DUTIES
- Checks general voicemail box and personal voicemail box once at the beginning and once at the end of daily shift; delivers or returns messages as appropriate.
- Operates the front desk telephone console to receive, transfer and discharge calls in a prompt, appropriate and courteous manner.
- Records telephone messages: writes message on a phone message pad; obtains caller's name, telephone number, date and time of the call;; asks for correct spelling of caller's last name and company, and repeats the information; ensure the delivery of the message to the recipient in a timely manner (within five minutes or upon the return to the office).
- Provides staff extension, home, pager or cell numbers as necessary, according to policy.
- Provides approved resident telephone and address information to callers, visitors, or delivery people for all units of Ingleside at Rock Creek according to policies.
- Operates the public address system as necessary to page persons or make announcements
- Monitors fire alarm panel and use appropriate sound system equipment for announcements of emergency situations.
- Maintains front desk in a neat, clean, and organized manner.
- Greets visitors in a courteous and professional voice and manner; answers questions of visitors and residents, giving appropriate information (i.e. provide marketing information as requested by visitors); contacts appropriate staff member for assistance when response is unclear.
- Ensures that visitors sign in and out of the guest book properly.
- Accepts deliveries for residents, or staff; notifying appropriate person for delivery.
- Sorts and distributes interoffice and outside mail for the department ensuring it goes to the appropriate box.
- Maintains accurate contact records in order to appropriately locate staff (i.e. telephone, cell phones, paging system).
- Refers to the Receptionist Reference and Help Books as needed.
- Performs designated opening and closing procedures at front desk.
QUALIFICATIONS
High school diploma or general education degree (GED), at least one (1) year office experience or business school training required; or equivalent combination of education and experience. Incumbent should be able to apply common sense understanding to carry out instructions furnished in written and oral form, possess high-quality verbal and written communication ability, strong customer service skills, and be able to type 25-50 wpm. Must be proficient in the operation of computer applications, various office machines including switchboard telephone, calculator/adding machine, copying machine, fax, etc.
