Job brief
We are looking for an Office Manager to organize and coordinate schedules, deposits, and office procedures, as well as manage the administrative tasks of operating a childcare facility. Your role is to create and maintain a pleasant work environment, ensuring high levels of organizational effectiveness, communication and safety.

What does an Office Manager do?
Office manager duties and responsibilities include processing payments, making office supplies arrangements, greeting visitors, completing registrations, maintaining business records, and providing general administrative support to our employees. The Office Manager should also have experience with a variety of office software and be able to accurately handle administrative duties independently.

Monday-Friday, 9AM-5PM

Salary
$23/hr DOE

Must be at least 18 years old

Responsibilities
● Serve as the point person for office manager duties including:

■ Mailing and Supplies
■ Bills
■ Errands
■ Registrations and enrollments
■ Social Media posting

● Assist with day-to-day operations of the childcare, including scheduling and maintaining appropriate ratios

● Attend and participate in professional training and conferences
● Schedule birthday parties and birthday party coaches
● Assist gym manager with gym schedule and tasks as needed
● Organize the office layout and order stationery and equipment
● Maintain the office condition and arrange necessary repair
● Maintain office policies as necessary

● Organize office operations and procedures
● Ensure that all items are invoiced and paid on time; monthly and annually
● Manage office G&A budget, ensure accurate and timely reporting
● Provide general support to visitors
● Assist in the onboarding process for new hires
● Address employees queries regarding office management issues
● Maintain a cleaning list for the office, lobby, bathrooms, and childcare facilities for the janitorial staff
● Communicates with clients to verify account information.
● Carry out day-to-day business transactions.
● Greet clients warmly to be helpful, ascertain problems, or reason for calling.
● Takes payment information and other pertinent information such as addresses and phone numbers.
● Manage daily cash deposits and/or balancing of start cash
● Sells products and assist in-house showroom
● Utilizes computer technology to handle on-line registrations and payments
● Works to ensure a high quality of service is being delivered
● Administrative duties as assigned.

Requirements and skills
● Must pass a background check and obtain fingerprints through the state of North Dakota
● Proven experience as an Office Manager, Front Office Manager or Administrative Assistant
● Knowledge of Office Administrator responsibilities, systems and procedures
● Proficiency in MS Office (MS Excel, MS Word, and MS Publisher in particular)
● Hands on experience with office machines (e.g. fax machines and printers)
● Familiarity with email scheduling tools, like Email Scheduler and Boomerang
● Excellent time management skills and ability to multitask and prioritize work
● Attention to detail and problem solving skills
● Excellent written and verbal communication skills
● Strong organizational and planning skills in a fast-paced environment
● High School diploma or equivalency; additional qualification as an Administrative assistant or Secretary will be a plus

Pay: $21.00 - $23.00 per hour
