Job Summary
The Assistant Medical Administrator is responsible for assisting the Medical Administrator with daily and technical medical department operations, project development and supporting the medical programs and teams with resources to provide excellent patient care based on patient-centered medical home model of care. The incumbent will be a leader with experience to assess medical operation competence, current best practices, process improvement, practice confidentiality, overall performance of services provided. All duties and responsibilities will be performed in accordance with the Yellowhawk Mission and Vision statements, core values, policies, procedures and relevant laws.
Essential Job Functions:
- Assist the Medical Administrator with ensuring that the Medical Department delivers quality patient care and services in a responsible, respectful and caring manner using experience and current industry standards.
- Exercise strict confidentiality and patient privacy.
- Supervision of medical staff, as directed.
- May perform intermittent clinical duties when needed and as allowed by credentials and privileges.
- Ensures all patient visits are documented legibly and appropriately, with said notes including but not limited to: medical screening, evaluation, diagnosis, treatment and prevention services.
- Ensures scheduling of all patient visits, in-house and referrals, is done in a timely and efficient manner.
- Ensures collaboration of Medical department staff with each other and all other supporting programs and staff for all aspects of department operations.
- Ensures collaboration with other Yellowhawk department directors and/or appropriate staff for various Medical department functions.
- Patient care management as ordered by appropriate healthcare professionals, if allowable by current credentials.
- Responsible for ensuring referrals for medical patients for specialized treatment when the patient’s medical needs are beyond the limits of Yellowhawk and/or beyond the scope of the medical provider are done in a timely manner.
- Reviews all referrals and coordinates with Compliance staff to ensure they are medically appropriate and within current priority guidelines. Maintains positive external relationships while coordinating referral services with other medical practitioners and medical facilities.
- Reviews and recommends coordination of services in a positive and collaborative manner with all Yellowhawk departments.
- Serves as a liaison and advisor to other professional personnel regarding patients and programming issues.
- Assists with the training and education of patients, Health Commission members, and Yellowhawk employees.
- Assists the Medical Administrator with ensuring continued accreditation with the Accreditation Association for Ambulatory Health Care, Inc. (AAAHC) by providing an active, peer-based program of quality assurance and quality improvement.
- Maintains records in compliance with professional, federal and other applicable guidelines; assure compliance with all accrediting agencies and with Yellowhawk policies and procedures.
- Assists Medical Administrator in reviewing new and revised Medical Department policies and procedures.
- Ensures that medical staff follows established Yellowhawk policies and procedures, including proper utilization of authorized software.
- Assists and oversees External Utilization Management from Outside Providers.
- Assists in preparing insurer reports on a quarterly basis.
- Assists in providing guidelines for Internal Utilization Management to the Business Office.
- Providing investigation and feedback to Risk Management /Quality Improvement.
- Collaborates with the Behavioral Health Department to maintain open access and coordinated clinical care.
- Represents Yellowhawk with a respected and viable presence in the community.
- Other related duties as assigned.
