The Art Gallery and Events Coordinator works with School of Fine and Performing Arts administration, faculty, and staff to develop, promote, and present exhibitions and selected events to the university community and greater Dayton region. For the Art Galleries, the Coordinator manages the budget, maintains the permanent collection, hires and supervises student employees and interns, and manages all daily aspects of galleries’ operations. This person also coordinates use of the School’s technical staff in the installation of art exhibits and production of other selected events, including Wright State ArtsGala, the region’s premier scholarship fundraiser for students in the Arts. For ArtsGala, they organize the schedule, manage the budget, engage outside vendors, and coordinate all planning and logistics for the event with the College, Event Services, Marketing, and Internal and Host committees. They are in charge of all publicity and promotional efforts for ArtsGala.
Minimum Qualifications
BA or BFA in Arts Administration, Communication, or related field and 3 years professional experience in the arts, non-profits or higher education. Excellent organizational and project management skills; ability to balance multiple, overlapping tasks and work collaboratively with a team. Exceptional skills in interpersonal and written communication; professional demeanor and the ability to successfully represent WSU Arts through media and to the public. Knowledge of word processing and database software.
Preferred Qualifications
MA or MFA in Arts Administration, Communication, or related field. Expertise in community outreach and relationship-building. 2+ years experience in Arts Administration. Skills in Adobe Suite and/or managing social media channels
Essential Functions and percent of time:
50% – Art Galleries:
20% – Curatorial and Marketing Duties -The Arts Gallery and Events Coordinator assists faculty curators in planning and promoting gallery exhibitions, related educational programming and content. The Coordinator writes website content, writes and edits exhibition press releases, and manages media promotion and public relations for the galleries. The coordinator produces all educational materials and public outreach programming related to the collection.
15% – Galleries Management Duties – The Coordinator trains, supervises, and assigns duties of part-time student workers. Plans exhibition schedules and galleries business hours, schedules student staff for exhibitions and special events. Coordinates with Physical Plant, Sculpture Technician, and others for the cleaning and maintenance of exhibition spaces and facilities.
10%-Galleries Administration Duties. The Galleries Coordinator manages the galleries’ general operating budget, exhibition budgets, grant and program budgets when applicable, and foundation/gift budgets.
5%-Collection Management Duties. The Galleries Coordinator oversees two large, multi-million dollar collections, the Robert and Elaine Stein Collection and the galleries’ permanent collection. The coordinator’s top priority in managing the collection is assuring its security, through developing and supervising appropriate security measures.

50% – ArtsGala:
20% – Coordinates marketing and promotion (newsletter through Dean’s Office, WSU Newsroom articles, print/audio/tv advertisements through community vendors, social media, etc.) Manages aspects of fundraising efforts and cultivates donor relations.
10% – Works with Event Services on obtaining/coordinating of caterers and other vendors.
10% – Schedules and leads meetings of Internal (COLA) and Host Committees.
5% – Works with all constituents to establish annual theme, schedule of performances, and layout of rooms and other spaces for the event.
5% – Works with the President’s Office to coordinate the VIP dinner; works with Dean’s Office and SFPA on establishment of budget and distribution of scholarship funds at close of Gala.
